Our client is undertaking a digital transformation towards becoming an electric utility of the future by implementing a fully digital system where our systems and data, and therefore our people, are better connected.

As the Project Co-Ordinator you will be an integral part of our project management team, responsible for coordinating and supporting various initiatives within our organization. From liaising with stakeholders to managing project schedules and budgets, your role will be diverse and impactful. You'll work closely with the Project managers, engineers and sponsors to ensure projects objectives are met. 

Requirements

The Project Coordinator with a strong background in Scheduling will be required to:
  
Project Coordination and Scheduling

  • Lead Scheduling Workshops: Assist Program Manager with Project Managers in supporting and creating detailed project schedules, focusing on resourcing, task breakdowns, dependencies, and key milestones across a portfolio of work.
  • Develop and Maintain Schedules: Ensure schedules clearly outline all tasks, owners, dependencies, milestones, deliverables, and due dates.
  • Track and Evaluate Progress: Monitor project timelines, identify issues, and suggest corrective actions to keep projects on track.
  • Manage Tasks with Tools: Use JIRA, Ellipse, and ServiceNow to facilitate task management and project activities.
Governance and Framework
  • Develop Scheduling Processes: Create and maintain scheduling frameworks and templates, ensuring they follow best practices.
  • Monitoring and Reporting
  • Track Task Status: Monitor all project tasks, address delays, and liaise with managers and team leads to ensure timely completion.
  • Manage Dependencies: Maintain interdependencies and manage portfolio risks.
  • Resource Planning: Help plan resource capacity across projects using Microsoft Project, report on resource status, skill gaps, and over-allocations.
  • Cost Analysis: Provide cost analysis reports based on project progress and burn rates.
Reporting
  • Progress Reporting: Produce fortnightly/monthly progress reports using methodologies like Earned Value Analysis, and contribute to project status and executive reports.
Tools and Meetings
  • Maintain Dependency Register: Work with Program Manager and project managers to keep the project dependency register updated.
  • Software Proficiency: Use Microsoft Project, JIRA, Mincom, Elipse, SAP and ServiceNow for scheduling and project management.
  • Participate in Meetings: Attend project team meetings and facilitate sessions with Subject Matter Experts to update the JIRA system.
Essential Criteria 
  • Experience in providing support to a Program Lead or management with scheduling, prioritisation of work and multi-tasking in a dynamic environment.
  • Advanced skills and experience in using the MS Office Suite including Word, Excel, Visio and PowerPoint.
  • Min 4 years large-scale IT and/or engineering project experience where you developed and managed the project schedule with expertise in managing Atlassian JIRA.
  • Experience with PMBOK/Prince 2 project management methodology (or similar).
  • Experience with Agile methodologies Scrum/Kanban.
  • Experience in co-ordinating meetings, presentations, workshops, and information sessions both within and external to Digital Office.
Desirable Criteria 
  • Experience working within a large portfolio with many inter-project dependencies and teams. 
  • Experience in using Project Management Tools e.g., MS Project, and/or Primavera P6.
  • Comprehensive experience in financial information reporting.
  • Competent in preparing Steering Committee and Executive presentations to provide updates on status.
  • An effective communicator able to identify and provide key information needs to other groups within the project.
