Purpose of Position:

We are currently seeking an experienced Project Administrator on a permanent full-time basis to join our Autonomous Road Train project team based in Perth. This role works closely with the stakeholder’s undertaking activities for the MRL project in the Perth and Wangara office and provides efficient day to day office and administrative support in accordance with Business processes and procedures within the Hexagon Autonomous Road Train program at Mineral Resources' Onslow Iron Ore project.

Major Areas of Responsibility:
  • General administration tasks that will ensure the smooth running of the office and business operations, catering for meetings, conferences and events, maintaining meeting rooms and the office, kitchen dishwasher, ensure photocopiers have paper and toner etc
  • Work closely with Executive Assistant on staff events i.e. Quarterly Staff Lunches, End of year Functions, Town Halls etc.
  • Maintain Reception area, contact lists and floor plans
  • Stock control - maintenance of staff amenities, stationery and general office supplies to ensure that adequate supplies are available for staff
  • Assist the Managers with travel bookings and arrangements, including related matters such as travel insurance, visas and booking of invoices, travel medicals and reporting
  • Attend meetings as required and note own actions
  • Maintain meeting room bookings in the reservation system, keep rooms neat and tidy
  • Filing / management of records, archiving and storage requirements
  • Incoming and outgoing mail including collection and drops off through Australia Post
  • Management of security protocols, e.g. keeping accurate and up to date records of security codes and access and the provision of keys and security codes
  • Management of Personal Protective Equipment (PPE) for staff
  • Assist with the management of building maintenance including but not limited to plumbing, electrical, general maintenance, doors, cleaning, signage, test and tag equipment, lawns, car park
  • Assisting management with certain business communications including internal announcements and newsletters, absentee lists, holiday announcements, administration manuals updates, updating documenting policies and procedures
  • Participation in audit and stocktaking
  • Compliance with Hexagon Mining's Workplace Health and Safety policies and procedures
  • Day to day management of the office and facilities
Other duties as required from time to timeKnowledge and Experience:
  • Minimum of 3 years commercial experience in an Administration/ Office role or similar
  • Experienced using SharePoint and Confluence (desirable)
  • Strong interpersonal, negotiation and conflict resolution skills
  • Advanced skills using Microsoft Office Suite
  • A professional approach combined with a flexible, positive 'can do' attitude
  • Ability to set and meet deadlines including follow up
  • Ability to work under pressure
  • Commitment to continuous improvement and further development of skills
  • Strong verbal and written communication skills
  • Willingness and ability to work in a team environment or work independently as required
