Job description

Location of work: Darwin

Scope of Works:

The Project Coordinator is responsible for the coordination and management of project management arrangements, including administrative and support activities, of major projects/programs. As a team member, this will require working closely with project directors/managers, other team members, and business users and associated stakeholders/clients, to provide professional administrative services and management of scheduling, communication and risks and issue management to assist in enabling project goals and deliverables to be achieved within set timeframes.

Key Duties / Responsibilities / Deliverables:

  • Assist the Manager and team members with high quality project administration and activities including the planning and coordination of workshops, preparing documentation, organising facilities, resources and stakeholders and assisting with execution and follow up activities.
  • Coordinate and maintain relevant project administrative systems and processes to support the effective achievement of work objectives whilst complying within EPS frameworks.
  • Be an active member and work collaboratively with project teams, including inducting new members to the team.
  • Develop strong working relationships with the project teams, stakeholders and vendors.
  • Regularly assess documentation and processes for continuous improvement activities which create efficiencies and streamline working practices.
  • Follow defined service quality standards, Workplace Health & Safety (WHS) policies & procedures relating to the work being undertaken in order to ensure high quality, safe services & workplaces.

Requirements

Essential Skills and Experience:

  • Proven experience in project facilitation and implementation with well-developed knowledge of ICT project administration policies, procedures and associated methodologies and tools.
  • Well-developed organisational and time management skills with proven ability to work under pressure, prioritise and meet deadlines.
  • Demonstrated ability to work with limited supervision and confidently use sound judgment, initiative, problem solving and be systematic in dealing with a range of complex activities concurrently.
  • Ability to understand a range of technical terminology and language associated with the ICT project environment.
  • Solid experience in using software packages including MS Office Suite, with ability to quickly acquire skills in JIRA and SharePoint and other software systems.

Desirable Skills and Experience:

  • Formal Qualification (or working towards) in Business Administration, Project Management or other qualification or equivalent experience.
  • Experience in the Information Technology Industry.

  • High level oral and written communication skills with the ability to communicate effectively and prepare and maintain documentation with excellent attention to detail and accuracy.
  • Ability to work in a large team environment with members of diverse cultures and backgrounds.
  • Self-starter with high personal drive and a positive attitude.
  • Disciplined and accountable for supporting and maintaining work products.
  • Behaves in a respectful and professional manner, maintaining high integrity and transparency when delivering work.
  • Excellent problem solver and critical thinker.
  • Proven ability to participate in teams including interacting effectively with people from diverse cultures, to achieve outcomes and assist others to work effectively to develop new ideas and ways of operating.

Clearance Requirements (identify required):

  • National Police Clearance
  • Working with Children (OCHRE)
