An exciting opportunity awaits you to leverage your coordination background and expertise as a Project Coordinator. While doing so, you will establish close collaboration with both our clients and internal departments, ensuring that all documentation processes are up to date.
As a Project Coordinator your tasks will include but are not limited to:
- Assist Project Manager in coordinating and overseeing construction projects from inception to completion.
- Assist with review of documentation prior to, during construction and ensure compliance to project scope and plans.
- Preparing, issuing, negotiating, and organising exchange of HIA building contracts with clients.
- Liaising with clients, via regular phone calls and emails, building rapport and addressing their needs for any pre-construction and construction related matters.
- Reviewing and completing credit applications to open accounts with subcontractors and suppliers.
- Certifying subcontractor/supplier invoices for payment.
- Managing variations that arise during the construction process efficiently.
- Keeping record of the compliance and upkeep to Safety Management Plan of all trades
- Responsible for project compliance (CC & OC) and completion process
- Preparation of client handover kits and all completion documents
- Track and update the project’s status regarding milestone, handover dates and produce accurate reporting of construction programmes through project reviews.
- Produce a detail monthly report for management covering the performance of the team any issues and forecasts for the upcoming month.
- Track and update Pre-construction and Construction phase of projects through the Onsite Companion software. Responsible for uploading documentation, assigning the projects to the Supervisor, assisting with continual improvement of Workflows.
- Prepare and issue purchase orders through Databuild estimating software for pre-construction works.
- Operating Databuild Gateway to ensure information from Databuild is being synced across to Onsite Companion.
- Taking minutes in meetings and following up on action items
- Lead warranty and defect management process, by identifying, registering and co-ordinating rectification of defects using the Onsite Companion software.
- Scheduling of Gas, Electrical, Water and DBYD connections.
- Coordinate the availability of resources, including labour, equipment, and materials, while managing schedules and logistics from the office.
- Ensure all work conforms to legislative and contractual WH&S requirements.
