Key Duties and Accountabilities
- Manage, monitor and organise timely delivery and financial payment of project related activities, including procurement, contract management, financial processing, preparing accrual calculations in accordance with departmental financial policies and procedures.
- Provide critical assistance in the management of procurement activities including invoicing and purchase order creation using SAP.
- Manage formal project and team correspondence using MECS.
- Contribute toward the preparation of monthly financial reports, reconciliations and variance analysis of projects and activities to assist with project budgeting, forecasting and financial reporting.
- Assist to prepare monthly financial reports, reconciliations and variance analysis, specific purpose periodic reports and correspondence on financial management and budgeting issues.
- Establish and maintain positive and effective relationships with internal and external stakeholders.
- Provide administrative and logistical support to Project Managers and the Director including travel management and training.
- Manage the controlled document management systems and associated records.
- Maintain project monitoring and reporting tools including schedules and cost plans.
- Assist Project Managers to monitor and report project performance.
- Assist Project Managers to coordinate Project Steering Committee meetings and perform project governance.
- Other duties as directed and required.
