The Role
We have big plans at the Austin Group and an opportunity has arisen for a diligent and motivated Property Assistant to join our team!
Based in our office in Malvern, this role is accountable for the day-to-day management of all property and maintenance issues for Austin Group brands, across retail stores and Support Office. Our ideal candidate will be a university student that has a strong interest in property and be eager to learn and develop their skills under the GM Property.
You will be a self-starter who is highly organised and can successfully build trusted relationships with internal and external stakeholders.
This role will be a part time position working 3 days per week.
Responsibilities will include but not limited to:
- Running/overseeing task-based management system online to contract out all maintenance for all stores including, lighting, plumbing, cleaning and tradespeople
- Management of the Lease Eagle property system to ensure data is accurate for all stores and other properties
- Management of Property Service Contracts – e.g Windows, Waste, Utilities, Site Outgoings, rent approvals
- Annual renewal of footpath permits for all strip stores and assisting GM with new stores Bank Guarantees, Public Liability Insurance.
- Liaising directly with all Landlords where necessary for property issues
- Overseeing all inventory requirements for planned new stores and replacement of items including whitegoods, vacuums, steamers etc
- Monthly rent invoice reconciliations
- Property maintenance invoice management
- Assist the GM Property and Financial Controller with other related administrative functions
You will have:
- Relevant tertiary or related qualifications / currently studying (Commerce/Business is highly desirable)
- Previous experience in a similar role in a fast-paced environment
- Experience in using Microsoft Office Suite of applications
- Highly organised to meet schedules and timeframes
- Strong attention to detail
- Abilty to manage multiple priorities
- Excellent interpersonal skills and be a team player
- Positive and proactive ‘can do’ attitude
- Strong negotiation and communication skills and ability to work collaboratively and influence decisions across functions
- Ability to work well under pressure and be flexible
- Confidence with and the aptitude to learn new technology
- Proven problem-solving skills and the ability to think ‘outside the box’
- Confidence with and the aptitude to learn new technology
- Strong stakeholder engagement, influencing, change management and people skills
