The Property Manager is responsible to the Senior Property Manager in the respective office. The PM must undertake all relevant duties associated with the role for the portfolio of properties assigned to them. All tasks must be performed in accordance ACT Legislation and conducted in a businesslike fashion in the applicable time frames. All communication must be recorded on the Property Management system to ensure record keeping is exemplary.
Position Specifications
PORTFOLIO MANAGEMENT- Manage a portfolio of properties applicable to requirements
- Conduct routine inspections/open homes
- Maintenance and work order instigation and completion
- Create leasing and property management documents
- Maintain regular communication with clients-tenants, owners, and contractors
- Manage online property advertising and property enquiries
- Monitor and management arrears as per KPI’s
- Perform general administration duties
- Use PM software, including Agentbox, Property Tree, Asana
- Organise and conduct periodic inspections condition reports and vacating or final inspection
- Prepare and lodge applications to Tribunal and attend as required.
- Authorise payments of client’s outgoings
- Carry out rent reviews
- Complete and lodge bonds, transfers, and claims
- Duties as requested by Senior Management and Agency Director
- Undertake all training as set
- Ensure CPD compliance and registration
- Attend regular meetings with PM team covering off issues and challenges
- Ensure best practices and compliance for all functions are carried out
- Meet teams and individual KPI’s in conjunction with Senior PM.
- Attend one on ones as required with Senior PM in the form of meetings, and written communications.
- Maintain key relationships with other departments for overall growth of the portfolio
- Ensure workflow is completed in a timely manner.
- Resolve any Conflict with assistance of Senior PM
COMMUNICATION
- Clear and concise communication between departments, staff in written and particularly clients
- Effectively carryout tasks rolled out across communication platforms (Outlook, Slack, Asana)
- Clear and concise note taking on all face-to-face meetings, including dates and times and pertinent points of discussions.

EXPERIENCE AND QUALIFICATIONS
- A minimum of One year’s property management experience or a related role
- Current ACT Real Estate registration or complete registration within 6 months of engagement

The Property Manager is an extremely valued member of the PM department and the Luton Organisation. The person in this role will have autonomy in managing all tasks required for the role with support from Senior PM’s. You must be able to work effectively with a range of key stakeholders to effectively reach positive outcomes in growth, customer service and revenue.
