About Us:
Next Challenge is a well established multidisciplinary paediatric practice providing therapy services to children in Western Australia. We are NDIS registered and welcome a combination of private and NDIS clients. Our team of Speech Pathologists, Occupational Therapists and Physiotherapist see clients across a range of settings; school, home, community and clinic, and also have the opportunity to provide on-site school-based contracts.
We are seeking an enthusiastic, client services/administration assistant to provide reception and administration support to our friendly team and families at our Osborne Park clinic.
What is available?
We have a part time position (3 days per week), with potential to extend to full time depending on the need for the successful applicant. We are flexible to make work fit your life!
About the role:
- Welcome clients to the clinic and facilitate customer traffic.
- Manage enquiries and other communication through all channels (e.g. email, phone call, electronic systems & processes, face-to-face).
- Assist with billing by processing payments.
- Organising follow up appointments.
- Attend to general administrative tasks and use established online administrative systems including Monday.com, Craft.do and Power Diary.
- Data entry and client information management.
- Be confident with supporting our families needs.
- Manage appointment times and cancellations.
- Invoicing and outstanding accounts follow up.
- Supporting therapists with the development of therapy resources.
- Office maintenance (e.g. cleaning) and restocking the clinic and reception area.
- Project work and quality improvement.
Essential Knowledge & Skills:
- Prior experience working in reception/administration roles (healthcare settings preferred) involving customer interaction and/or practice management.
- Have excellent communication skills, both verbal and written.
- Have advanced computer skills to be able to use Microsoft Office Suite and client information databases.
- Excellent organisational skills and ability to work independently, use initiative and set priorities.
- Highly efficient and capable of working at a fast pace with high level of attention to detail.
- Demonstrated well-developed oral and written communication skills.
- Excellent interpersonal manner and cross-cultural skills.
- An understanding of or experience working with various funding streams available to our families such as Medicare and the National Disability Insurance Scheme is preferred by not essential.

- Working with Children Check.
- National Police Clearance
- Full working rights are required for this role.
