Job duties and responsibilities
Management of reception team
- Ensure there is a sufficient staffing level to meet the service needs of the practice.
- Ensure the clerical team are sufficiently trained in the areas of: booking & billing, phone calls and patient management, typing (where appropriate) and customer service.
- Ensure there is a roster of clerical staff published for the clerical team to follow.
- Performance management of clerical team to ensure all staff members are functioning ‘as a team’ and consistent with the expectations of the role.
Perform reception duties:
- The Clerical supervisor is able to perform clerical duties within the practice at a high level and is able to trouble shoot and answer questions and resolve issues for other receptionists in the practice.
Management of the typing function:
- Ensure the ‘typing pool’ (outstanding reports waiting to be reported) is maintained at a low level. Ensure the typing is performed to a high level with minimal errors.
Phones:
- Ensure the phones at the practice are answered in an acceptable timeframe. Ensure the staff answering the phones are able to attend to patient / referrer needs and manage bookings efficiently and effectively.
- Ensure the technology of the phone system is deployed across the practice and is being utilized by all staff.
Bookings:
- Ensure the patient bookings are made into the RIS efficiently and effectively with a focus on:
- Maximising the utilization of each room / modality.
- Effectively booking patients to reduce downtime.
- Coordinate these bookings together with the clinical teams. (Radiographer, sonographer, nursing staff and radiologists).
Billings
- Ensure the billings are batched and sent to Medicare Australia in an efficient and effective manner.
- Ensure there are no outstanding billings remaining on the RIS.
- Ensure patients are charged out of pocket gaps (where appropriate).
- Ensure the clerical team are satisfactorily trained in the medicare item codes required to be billed for each procedure.
- Knowledge of Radiology Information System (RIS / PACs)
- Promotes Patient Centered Care Philosophy – in accordance with company values
- Radiology experience preferred
- Chief radiographer of the practice they’re working at.
- The Clerical Supervisor will report to The Partners of the business.
- Reporting lines may vary and will be communicated via an organization chart.
