Summary of Position
Contributes to the smooth and efficient functioning of the practice by providing high quality reception and administration support to the patients, doctors and staff at the clinic. Is the first point of contacts for patients and visitors.
Details:
- Permanent position.
- You will work alongside our admin team
- 4 days a week
- No weekends
- Close to public transport
Key Responsibilities
- Greet patients- check in/check out process
- Answer the telephone, screen calls, take messages and answer inquiries follow up voice messages.
- Follow up emails and enquires from direct email and from generic email
- Follow up new patient enquiries
- Making, files and scanning all new patients information
- Order office supplies
- Advise patients of credit and billing policies; issue invoices and receipts; process payments; prepare banking
- Setting up and processing accounts for payments
- Maintain petty cash records
- Update patient information in computer system as need
- Check on recall system as well as follow up system for new patients on a regular basis
- Banking
- Production of daily reports as necessary
- Photocopying; routine cleaning and stocking tasks; ensure reception and waiting areas are clean and tidy
- Obey all dental ethical guidelines including all rules on confidentiality
Skills Required:
- Customer service
- Attention to detail
- Being organised and punctual
- Proven work experience with references as a Receptionist, Front Office coordinator or similar role
- Proficiency in Microsoft Office
- Proficient command of English and typing skills
- Solid written and verbal communication skills
- Professional attitude and appearance
- Ability to be resourceful and proactive when issues arise
- Prioritising tasks in a time efficient manner with attention to detail
