About the Role:
We are in search of a seasoned Receptionist with exceptional attention to detail, robust organisational abilities, a positive demeanour, and a strong work ethic, coupled with professional presentation. Proficiency in software applications is a must, along with excellent communication skills and a friendly, approachable manner. The ideal candidate will bring prior experience as a receptionist and administrator, preferably within a public practice accounting firm.
Candidates without public practice experience will also be considered.

Duties include:
- Take responsibility for the wellbeing of our clients when they visit our premises
- Manage incoming calls efficiently and directing to appropriate person
- Maintain the reception area, meeting rooms, kitchen and balcony in a professional manner
- Diary management of room allocation for meetings as needed
- Preparation of meeting rooms ahead of meetings including set up
- Ensure kitchen is well stocked and maintained
- Distribution of incoming mail and preparation of outward mail, including scanning and record keeping
- Management of visitor passes and fobs
- Ensuring appropriate levels of stationery are kept
- Coordinate courier services as needed
- Manage catering orders for all internal events or meetings
- Proactively order office supplies including kitchen stock, drinks, stationery and flowers
- Process payments received at reception and issue receipts accordingly
- Contribute to marketing initiatives and event functions as needed
- Perform additional administration duties on an ad-hoc basis
- Provide assistance to the Executive Coordinator managing cleaning contractors, servicing of printers and building repairs/maintenance as required
Requirements:
- Excellent people skills – ability to build rapport with staff and clients
- Strong verbal and written communication skills
- Ability to handle client enquiries and complaints in a professional manner
- Excellent organisational and time management skills
- Strong customer service skills
- Ability to maintain confidentiality
- Competent in the use of Teams and the Microsoft Office Suite
- Ability to learn quickly and be a supportive team player
- Experience in a reception/administrative role within public practice would be highly regarded
**Training on system and software will be provided**
