Receptionist & Administrative Assistant

Brisbane Livewell Clinic, Brisbane, QLD

  • Role available just at Wavell Heights Clinic
  • Role available just at Cannon Hill Clinic
  • Role available to work across both Wavell Heights and Cannon Hill Clinics

Brisbane Livewell Clinic is one of the leading Wellness Clinics in Brisbane, with 15 Practitioners and 8 different modalities including Naturopathy, Acupuncture, Massage, and Physiotherapy. 

We have a new hands-on Owner and an exciting plan for future growth, and we are seeking additional Reception and Administration support at both of our Clinics to enable us to take advantage of these opportunities.

We are willing to discuss permanent part-time work for the right applicants.

This role is pivotal in providing first-class support to our Patients and Practitioners, ensuring the smooth operation of our Clinic's front desk and administrative functions. Because of this, it is essential that you have prior experience working as a Receptionist in a health care, Allied Health or Natural Therapies business. Alternatively, you may be a Naturopath or Nutrition student with Reception experience who is looking for work in the industry while studying.

Key Responsibilities include:

  • Open/close the clinic at the beginning/end of the day.
  • Greet and welcome patients in a warm and professional manner, ensuring a positive first impression of the clinic.
  • Manage all aspects of appointment scheduling, including booking, rescheduling, and cancelling appointments using our clinic management software.
  • Handle incoming calls and emails, providing prompt and accurate information to enquiries and redirecting calls as necessary.
  • Process payments and manage billing enquiries with a high degree of accuracy and confidentiality.
  • Maintain a clean and organised reception area, ensuring a comfortable and welcoming environment for patients and staff.
  • Assist in the management of patient records, ensuring all information is up-to-date, accurate, and securely stored.
  • Provide administrative support to practitioners, including answering queries, helping with patient management, editing invoices, processing orders, document preparation and management etc.
  • Manage inventory of office supplies, clinic materials, supplements and liquid herbs, placing orders as required.
  • Assisting the Owner/Clinic Manager as required.
  • Assist with the smooth running of the Clinic.

Essential Skills and Qualifications:

  • Proven experience in a receptionist and administrative role within a health care setting.
  • Exceptional communication skills, both verbal and written, with the ability to engage with a diverse range of clients and team members.
  • High level of proficiency in computer skills, including Microsoft Office suite and Dropbox and the ability to quickly learn new software.
  • Prior experience with Timely will be highly regarded.
  • Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
  • A commitment to providing outstanding patient and practitioner service, with a friendly and empathetic approach to patient care.
  • Ability to work independently and as part of a team, demonstrating initiative and a proactive approach to daily tasks.
  • Attention to detail and a high level of accuracy in all aspects of work.
