Organisation Summary:  

Murray House Wentworth Aged Care is a community owned not-for-profit aged care facility that is overseen by a voluntary Board of Directors. The facility has the capacity to house 65 residents, who have chosen to make Murray House their home and live in private and comfortable accommodation. We pride ourselves in the provision of excellent quality care in a friendly, caring and warm environment.

Position Summary: 

As a staff member of Murray House (MH), the Administrative Assistant – Reception/Front Office, under the direct supervision of the Chief Executive Officer and Head of Human Resources, will be expected to work in line with MH Code of Ethical Conduct, policies, procedures and relevant standards (e.g., Aged Care Quality Standards). The Administrative Assistant – Reception/Front Office must comply with and follow MH policies and procedures. The Administrative Assistant will provide reception, clerical and administrative and promote a save work environment for staff and residents.

Screening and external authorisation requirements:

  • NDIS Worker Screening Check
  • Evidence of receiving three courses of COVID-19 vaccination.

Reports to Head of Human Resources.

Working Relationships:

Work closely with the management team, staff in all departments, residents and their representatives, volunteers and contractors.

Key Tasks and Responsibilities:

  1. Provide initial point of contact for visitors and contractors and support compliance with PPE protocols.
  2. Answer telephone and relay messages promptly and accurately, and maintain up-to-date communication systems, including contact lists.
  3. Manage incoming and outgoing postal and delivery systems.
  4. Perform administrative and clerical tasks for the CEO and HRO, including, but not limited to data entry, document preparation and formatting, and form, signage and brochure design.
  5. Support resident admission procedures, according to the admission checklist.
  6. Order and maintain office and stationery supplies.
  7. Assist HRO with recruitment and induction processes and documentation, including issuing keys and computer-related logins and access.
  8. Provide administrative support to the Board Fundraising Committee for functions and events.
  9. Maintain strict confidentiality in regard to residents, staff, volunteers and MH’s data, operating procedures and information.
  10. Attend mandatory training and participate in other relevant education and training.
  11. Perform tasks and duties which reflect the Values of MH.
  12. Attend staff meetings and contribute positive and constructive feedback.

The Applicant must:

  • Have experience in Office Administration or a similar role. 
  • Possess computer experience with the Microsoft Office Suite of programs including Desktop Publisher.
  • Have a high level of accuracy, efficiency and accountability
  • Show attention to detail
  • Have advanced communication and time management skills
