Job description

The National Offshore Petroleum Safety and Environmental Management Authority (NOPSEMA) is Australia's independent expert regulator for health and safety, structural integrity, well integrity and environmental management for all offshore energy operations and greenhouse gas storage activities in Commonwealth waters, and in coastal waters where regulatory powers and functions have been conferred.

NOPSEMA also administers the functions of the Offshore Infrastructure Regulator (OIR), for the offshore renewables industry. This includes the regulation of work health and safety, infrastructure integrity, and environmental management for offshore renewable energy infrastructure activities.

About the roles

We are currently seeking Regulatory Assistants to join our Perth Office. The roles will provide administrative and secretarial support to Deputy Chief Executive Officers, Senior Executives, Directors, and Regulatory Specialists to assist the smooth operation of the business. 

We are inviting applications from experienced Technical Assistants, Executive Assistants, Personal Assistants, Project Administrators or Administrative Officers to fill current and future positions. 

You will undertake a broad range of duties and be responsible for the following:

  • Calendar management, including ensuring Senior Executives and Directors are fully briefed and prepared for internal and external meetings and aware of timeframes and deadlines of matters that must be attended to.
  • Administration of procurement, including managing travel, accommodation and expense reimbursements.
  • Facilitating meetings, taking minutes, coordinating follow up actions and drafting correspondence, including emails in response to queries and requests.
  • Contributing to the effectiveness and efficiency of the Division / Team including active participation in Team development and planning activities, arranging workshops and coordinating events.
  • Assisting Directors and Regulatory Specialists in the administration of core regulatory processes, processing submissions, drafting and reviewing correspondence, liaising with operators and titleholders in a timely manner, including creating electronic files, managing records, updating and managing the Regulatory Management System and updating the external website. 
  • Processing operator incident notifications and actions as necessary.
  • Working flexibly across the division, sourcing information and undertaking research and project work as appropriate.

We would like to hear from you if you have: 

  • Experience in providing support to senior executives and technical experts, supporting multiple activities simultaneously.
  • Good communication and interpersonal skills, with the ability to liaise confidently with a wide range of internal and external stakeholders.
  • Strong organisational skills, ability to meet deadlines with limited supervision, and manage competing priorities.
  • Demonstrated ability to use initiative, problem solve and react flexibly to changing priorities.
  • Excellent attention to detail, ability to quality assure documents and maintain databases.
  • Experience in coordinating workshops, events, booking travel, expense reimbursements and procurement.
