What you'll do
You will be at the heart of where all the action is, where no two days are the same in this fast paced, diverse and exciting environment. In this pivotal role you will be responsible for day-to-day support to the General Manager Racing Industry & Venues while also providing administrative support to the wider Leadership team.
Our teams are based across all States, with our GM currently based in Melbourne. The team comprises National Retail & Racing Industry - they provide key functions, support and service for Tabcorp's Venue's & Racing Industry Partners and customers, 7 days a week.
Key Responsibilities
- Provide day to day support to General Manager including diary management (scheduling appointments and managing meeting requests).
- Co-ordinate travel arrangements (including flights, accommodation, transport) and prepare itineraries for General Manager and leadership team
- Ensuring effective email management system in place. Preparing agendas, taking minutes, and coordinating logistics for meetings, including arranging catering and managing audio/visual equipment.
- Attend meetings as required, taking notes ensuring action items are documented.
- Responsible for managing expenses, including preparing expense reports, and tracking reimbursements and follow up of team members to ensure timeliness.
- Planning and organising team activities: This involves creating schedules, briefings, planning, setting deadlines, and ensuring that everyone is aware of their responsibilities
- Co-ordinate team meetings (eg: Leadership team, Town Halls etc..) including preparation of agendas
- Co-ordinate events as required either at local level or across Racing Industry & Venues teams.
- Facilitate communication between Racing Industry & Venues teams and stakeholders
- Provide administrative support to leadership team
- Excellent organizational and time management skills with the ability to prioritise and multitask effectively
- Strong communication skills with the ability to work effectively with individuals at all levels of the organization
- The ability to build strong working relationships and maintain confidentiality and exercise discretion
- Ability to work autonomously, positive attitude and ability to work well under pressure
- Be comfortable working in a fast-paced environment
