What this job involves:

We’ve got an exciting opportunity for an Executive Team Assistant to provide high level administrative support and centralized business support to the Accounts Executive Platform and Sydney based office operations within the Work Dynamics organisation. 

Snapshot of the role:

  • Coordination and management of: Meeting room bookings, catering services, onboarding and offboarding components for key WD personnel and visitor registrations.
  • Diary Management – Planning and coordination of scheduling 
  • Communicate directly and on behalf of the Executives’ with all levels of Leadership, Employees, Clients and external stakeholders
  • Compose and prepare various correspondence (at times highly confidential)
  • Arrange domestic travel plans, itineraries and schedules
  • Provide ad hoc administrative assistance and general business/organisational guidance to the account staff
  • Assisting the Executive Assistant with cross-divisional team meetings, events and functions including; sourcing venues, cost management, travel arrangements, IT coordination and logistics 

What are we looking for?

We are seeking a forward looking thinker, who can actively seek opportunities and proposes solutions while able to think outside of the box and look for better ways. 

Ideally, you will have previous experience providing high level administrative support to Senior Management ideally within the facilities/property or professional services industry. 

  • Strong Microsoft Office Skills (Word, Excel, PowerPoint, Outlook) with the ability to learn and adapt to new systems and tools 
  • Highly developed organizational skills with the ability to work under pressure
  • You will work autonomously within a sociable team environment with highly developed organisational skills, proactive work ethic and ability to multi-task.
