Sales And Administration Co-Ordinator

The Company

Skimmer Lids is a Yatala based speciality manufacturer, wholesaler and retailer of a patented, high quality swimming pool-related product currently being distributed throughout Australia, USA, UK, Europe and South America. Our company has been enjoying strong growth over the past few years and we are now looking to grow our Administration team.

The responsibilities include:

• Answer incoming phone calls professionally and provide excellent advice and service to clients.
• Ensure all sales leads are responded to promptly. 
• Support and work with the external sales team to meet required sales targets
• Perform administrative duties accurately to facilitate smooth business operations.
• Prepare quotes, sales orders, invoices, and delivery notes.
• Process domestic and international orders efficiently.
• Manage client payments effectively.
• Coordinate freight logistics for local and interstate orders.
• Handle incoming phone calls, emails, and greet visitors courteously.
• Ensure stock availability and liaise with the Production team to fulfill orders.
• Collaborate with third-party freight companies to ensure timely and cost-effective deliveries.
• Liaise with the Warehouse to ensure accurate invoicing for dispatched goods.
• Follow up with debtors for payment on overdue accounts.
• Monitor returns and generate necessary adjustment notes/credit memos.
• Maintain accurate stock figures in SAP.
• Order stationery and consumables as needed.
• Assist in preparing timely and accurate reports.
• Support in implementing and reviewing procedures and processes for maximum efficiency.

Experience and skills required:

• Previous experience in a similar administrative or customer service role preferred.
• Proficiency in Microsoft Office Suite and SAP (preferred but not mandatory).
• Excellent communication and interpersonal skills.
• Strong organisational and multitasking abilities.
• Attention to detail and accuracy in data entry.
• Ability to work effectively both independently and as part of a team.
• Problem-solving skills and a proactive approach to tasks.
• Prior experience in a logistics or supply chain environment is advantageous.
• Ability to understand and obtain product knowledge and ability to decipher client needs.
