Salary Range: $61,153.00 - $79,971.00 + Superannuation (paid pro-rata for part-time appointments, dependent on skills and experience)
Start Date:  Term 1, 2024

About the Role

St John the Apostle Primary School is currently seeking to appoint an enthusiastic and vibrant School Finance Officer.

Position Duties

This position encompasses the following duties, including but not limited to:

Accounts Receivable

  • Generate and monitor family school fees and levies.
  • Assess and process remissions for eligible families, in consultation with Principal, Fees Committee and CECG.
  • Receipt all monies received – cash, credit card/ EFTPOS, Qkr.
  • Ensure all Cash receipted is banked promptly
  • Follow Debt Recovery procedures for relevant debtors.
  • Assist in preparing Bad Debt Write Offs in accordance with correct delegation and authorisation.
  • Create Non-Student Debtor Invoices – generate sundry debtor invoices and process payments received.
  • Maintain hall hire contracts, invoice, and receipt payments.

 Accounts Payable

  • Maintain and process procurement to pay (P2P) for the day-to-day operational requirements of the school, e.g. ordering school supplies, excursion and camp costs, grounds and maintenance costs, library and IT resources throughout the year.
  • Ensure budget assigned to P2P is correct and authorised in line with CE Delegations
  • Process Goods Receipt etc. 

End of Month Processes

  • Ensure prior to month end all banking of cash on hand has been completed.
  • Ensure all receipting of unmatched transactions in TechOne have been accounted and cleared.
  • Assist Community Council Treasurer with financial reporting, particularly in preparation for Council meetings and Government reporting obligations.

 End of Year Processes

  • Ensure Finance End of Year tasks are completed as set out by CE
  • In conjunction with Principal, assist with budget preparation for the following year.
  • Assist in formulating and communicating the school fees and levies schedule for the following year.

Other Duties

  • Assist with preparing grant applications and acquittals.
  • Assist with record-keeping and archiving of school records.
  • Administer First Aid to students and complete required documentation via Compass and other CECG record keeping systems.
  • Assist in ensuring Compass data is up to date for CE and School Hub for census
  • Assist with reception duties when required – handling personal, telephone, and email enquiries.
  • Assist with distribution of information to parents and students via Compass.
  • Assist with maintaining relevant information on the school website and other publications.
  • Maintain key register – ensuring keys are signed for and returned to office.
  • Assist in monitoring all office equipment and photocopiers – supplies and contracts.
  • Undertake other related and appropriate duties as determined by the Principal and Executive Team to support the successful operation of the school.

Essential Criteria

In order to be a vibrant team member of the St John the Apostle Primary School Staff, the successful applicant will need to be a person who demonstrates:

  1.  An understanding of and commitment to the mission and vision of a Catholic school.
  2. Experience working in financial administration in a school or corporate environment.
  3. Excellent computer skills and use of MS Office (especially Excel).
  4. Ability to work unsupervised and to make decisions within the role requirements.
  5. Strong time management and organisational skills including the ability to succeed in a fast-paced environment.
  6. Excellent oral and written communication with a helpful, pleasant, and collaborative approach.
  7. Strong interpersonal skills with parents, teachers, and students.
  8. Understand and maintain strict confidentiality and privacy in all aspects of the role.
  9. A helpful and co-operative approach to working as a team.
  10. Experience and understanding of School Finance and student management software such as TechOne or Compass is desirable. If no experience on these systems, then a willingness to learn and use these systems.
