Now, a bit about the role:  
Known internally as a District Secretary, this position plays a vital role by representing State Branch in the provision of efficient, effective, high quality and client-focused administration, coordination, and support function services directly to the District Executive and Sub Branches.

This permanent, full-time position will be based in our District Officer in Bundaberg. Whilst a Monday-Friday position, some occasional weekend work may be required. 

As a key point of contact for Sub Branches within the District you will be supported by an Administration Assistant, report to the Senior Manager District Support Services and work closely with and support the District President.  Other responsibilities include, but aren’t limited to:  

  • Working in partnership with State Branch to deliver key deliverables, programs and projects
  • Providing administrative support to the District Executives in relation to the District’s requirements to comply with League Constitutions & By Laws at all levels, and those requirements of the Associations Incorporation Act 1981
  • Ensuring a high level of customer service to all external and internal customers and stakeholders
  • Coordinating and facilitating the formalities of District meetings and events, including sending invites, booking rooms, arranging travel, accommodation, and catering, taking minutes etc
  • Efficiently managing reception, incoming calls, emails and proactively determining significance and possible solutions
  • Facilitating the promotion of membership through assisting in signing up new members, renewals, processing and maintaining details on a database, training, and guidance on use of membership systems.
  • Assisting with and co-ordinating training
  • Supervising the District Administration Assistant
  
What’s required to succeed:
This is a hands-on role requiring exceptional customer and stakeholder management skills and strong organisational and time management skills.   The ability to work weekends and travel intrastate is also required.  

Qualifications, experience, and capabilities include the following:

  • 5+ years’ experience in a busy and demanding office administrative role in a similar sized organisation
  • 3+ years’ supervisory experience
  • Formal qualification in business administration or a related field is desirable
  • Customer focus with the ability to work with volunteers and demonstrated empathy for veterans
  • Excellent communication and interpersonal skills including the ability to influence and negotiate in the pursuit of specific objectives
  • Ability to manage competing priorities from multiple stakeholders and effectively plan and manage role responsibilities
  • Experience in dealing with Boards including pulling together reports and minute taking
  • Strong IT capability and the ability to pick up systems quickly
  • The ability to work autonomously, with limited direction or supervision
  • Good ability to conceptualise and draft communications and presentations from scratch on a variety of topics (Advanced skills in Microsoft Office)
  • Strong attention to detail and high degree of accuracy, with proficient grammar and spelling
  • Demonstrated ability to problem solve and take initiative in the resolution of systemic and once off administrative problems, always demonstrating the highest of ethical standards
  • Sound knowledge of corporate governance requirements and experience in the provision of effective secretarial support to boards and committee
