ALWAYS LIVE programming showcases Victoria and Melbourne to the world as Australia’s live music capital. Combining global headline acts with a diverse range of local talent to produce live music performances and events across November- December each year, ALWAYS LIVE is a unique, annual program of exceptional live music experiences and provides a unified platform for industry development events and grassroot development initiatives.

ABOUT THE ROLE

The Senior Event Producer role is a critical role for a dynamic, experienced professional to manage the ALWAYS LIVE event concepts and production elements in accordance with the program and budget. The role has a focus on operational excellence and event execution as well as a collaborative team approach in ensuring ALWAYS LIVE’s program is delivered to the highest quality. 

You will be responsible for ensuring that key ALWAYS LIVE collaborations are brought to life with the best interests of ALWAYS LIVE at the core, based on strong contractual compliance.

The role may require some work in regional Victoria, as well as flexible working hours. 

KEY ACCOUNTABILITIES

Event Management 

• Successfully execute key ALWAYS LIVE concepts in accordance with the direction of the Executive Producer.

• Collaboration with the ALWAYS LIVE team, partners, stakeholders and contractors to ensure operational excellence.

• Take events from concept to completion via all elements of project management, including but not limited to:

• Production and AV management
• Run sheet management
• Talent management 
• OH&S 
• Travel and accommodation
• Partnership integration
• Venue and location management including date holds, site inspections etc.
• Contract management and negotiation for vendors and suppliers
• Staff coordination including volunteers, contractors and event day staff
• Management of ticketing processes both internal and public facing
• Perform scoping and feasibility studies to investigate prospective event options and their financial viability

Bringing to life partnerships and collaborations by way of contract administration including but not limited to:

• Internal cross departmental collaboration
• Announcement planning 
• Signage and branding 
• Working with partners, promoters and venues to ensure ALWAYS LIVE objectives are being met

Adhering to event budgets as set out by the Executive Producer,  including but not limited to:

• Working with various suppliers to obtain quotes
• Generation of purchase orders 
• Invoice management 
• Ongoing record keeping and final reconciliation 
• Assisting Executive Producer on monthly reporting

Information Management and Event Management Software

• Use of Festival Pro event management software to manage all event related data and communications
• Overseeing ongoing improvement of processes and procedures
• Ensuring that complete and accurate records relating to all activities are maintained and stored in ALWAYS LIVE electronic records management

Risk Management and Safety

• Pursue a ‘Safety First’ approach to all aspects of ALWAYS LIVE operations including workplace and health as well as financial and reputational safety
• Demonstrate effective leadership on OH&S matters
• An understanding of OH&S, Risk, Safety and Emergency Management Plans

Other

• Consult closely with the Executive Producer on all event related matters.
• Coordinate reports in servicing the ALWAYS LIVE key stakeholders and post report. From time-to-time other duties outside the scope of this position description reasonably based on skills and experience 

KEY SELECTION CRITERIA

• Event Producing - A demonstrated track record of developing and executing events by managing key project elements including planning, permitting, and operations, from ideation to delivery, whilst managing multiple events and competing priorities concurrently
• Event Administration - Ability to negotiate with suppliers, contractors and other external parties
• Stakeholder Management - Demonstrated ability to build, maintain and influence strong working relationships with internal and external stakeholders
• Event Management - Experience in managing event personnel and staffing requirements

EXPERIENCE & QUALIFICATIONS

• Minimum 7 years’ experience in major events industry and/or relevant tertiary qualifications. 
• Passionate advocate and interest in live contemporary music.

This role is a fixed term contract position for immediate start until the end of the ALWAYS LIVE 2024 Season and reporting period on 31 January 2025.
