- Working closely with the Events Manager to establish relationships with new and existing clients for future business opportunities and strong conversion across Event Planners, PCO, Corporate, Association, Sporting & Schools market segments.
- Support the events team where required including facilitating meetings such as weekly BEO meetings and attending weekly meetings in the absence of the Sales & Events Manager.
- Meet with clients and work closely with them in developing and organising detailed plans and timelines for conferences/events, outlining key milestones, tasks and responsibilities.
- Prepare proposals, contracts and banquet event orders for events such as residential conferences, weddings, gala events, sporting events, concerts & gigs, school formals & graduations, award nights... and the list goes on!
- Build strong relationships with internal and external stakeholders
- Liaise and negotiate with clients to identify opportunities to upsell and deliver beyond client expectations.
- Co-ordinate day to day requirements of clients and action as necessary (e.g. complete and distribute BEO and internal communication within the business).
- Provide on-site support during conferences, serving as the primary point of contact for clients and overseeing the implementation of operational plans.
- Conduct post-event evaluations with clients to gather feedback, measure success and identify areas for improvement.
- Prepare and distribute daily, weekly and monthly reports as required and within the allocated time frame.
- Maintain a high standard of product knowledge and to assist clients with creating their special day.
- Display a strong understanding of the current market and competitors in the Events industry.
- Communicate effectively with internal & external suppliers to deliver exceptional events.
- The successful candidate must have a minimum of 3 years event coordination experience working in Tourism, Hospitality, Hotel or Club Industries
- Experience working under pressure with high volume of business
- Proficiency in Microsoft Office Suite
- Exceptional communication skills both written/verbal
- High attention to detail
- Ivvy experience is preferable
- Exceptional customer service skills
- Highly organised and works well under pressure
- Accurate time management skills is a must
- To be creative and use initiative to provide ‘best outcome’ in absence of Manager
- Current Queensland Certification in RSA
