The role of Senior Project Manager will coordinate and control all off-site and on-site construction project planning and deliverables to ensure that completed works are within budgets, program and achieve contractual and project objectives.

Key Responsibilities:
- Assist estimating team and Project Director during the tender process.
- Responsible for preparing design and construction programme (and methodology, if applicable) including preliminaries schedule.
- Responsible for leading the consultant team in the preparation of construction documentation.
- Responsible for letting all subcontractor and supplier contracts.
- Responsible for addressing all Authority consent conditions required for construction commencement.
- Oversee and direct construction projects from conception to completion according to the project plan.
- Ensure site is established within designated time and defective items are rectified promptly.
- Oversee all onsite and offsite project activities ensuring the adoption of quality construction standards, delivery of outcomes and compliance to building and safety regulations.
- Coordinate with site teams and direct site teams and subcontractors to achieve outcomes.
- Select tools, materials and equipment and track inventory. Monitor and forecast all materials over the project duration and work closely with site teams to minimise wastage.
- Ensure the Project satisfies all agreed contractual conditions of performance. Actively monitor daily/weekly/monthly deliverables against work schedules and coordinate with clients and site teams to ensure issues are resolved amicably, within scope and budget.
- Analyse, manage and mitigate project / site risks. Effectively plan to prevent problems and resolve any emerging ones ensuring superior service and effective stakeholder management.
- Negotiate terms of agreements, draft contracts and obtain permits and licences as needed.
- Ensure setup, management and maintenance of accurate and up-to-date and compliant project documentation (forms, records, and other contractual and site documentation)
- Ensure documents, files, project, and contractual information are effectively and securely stored, structured. Maintained and accessible as needed.
- Maintain effective relationships with clients, consultants, suppliers, sub-contractors, developers and other internal teams and external agencies / governing bodies to ensure the management and delivery of project outcomes.
- Establish effective communication schedules and reporting standards (project, construction, programme status) ensuring all stakeholders are updated on project and programme performance together with resolution of issues and effective / timely escalation of matters.
- Conduct regular and unscheduled site visits to oversee quality of work and to ensure project is tracking to agreed schedules / programme.
- Distribute submittal packages to appropriate parties; ensure documentation is up to date and submissions maintained electronically and/or by hard copy.
- Meet with subcontractors to ensure quality and performance is managed over the duration of the project. Ensure issues are addressed promptly and feedback provided to internal teams to improve supplier network.
- Obtain insurance certificates from subcontractors and follow-up on non-compliant or expired certificates.
- Attend and provide detailed project updates at weekly PCG meetings.
- Review and track change order requests/variations and prepare documents for Project Director’s approval.
- Manage and oversee all invoicing, client progress claims and monthly reconciliation.
- Oversee and manage all subcontractor payments, contact subcontractors regarding invoices and verify billing vs. actual work complete.
- Ensuring preparation of regular program reports to ensure forward planning is maintained and delays minimised.
- Ensuring teams are effectively planning and programming at a minimum 2-3 weeks ahead.
- Ensuring prompt and appropriate corrective action where programmes are not achieved.
- Ensuring oversight of daily and weekly targets including any plant, equipment or labour resources required and management of all incoming and outgoing deliveries/purchases.
- Responsible for project until DLP completion ensuring adequate subcontractor resources to ensure timely defect closeout.
WHSE
Achieve the highest Workplace Health, Safety & Environment (WHSE) standards possible and provide leadership on attitudes towards safety to ensure the elimination of injuries and incidents on a project. Accountabilities include:
- Ensure compliance to the WHSE section of the Project Management Plan and WHSE policies, procedures, rules and regulations.
- Ensure compliance with legal obligations under relevant Acts, Regulations and Codes of Practices
- Ensure all incidents are reported in accordance with agreed standards within 2 hours.
- Ensure active involvement in project safety meetings and activities.
- Ensure site teams and subcontractors comply with Safety Plans and with Company policies and procedures reviewing processes, policies and providing training as needed.
COST MANAGEMENT & REPORTING
Achieve project objectives within assigned budgets. This shall include but is not limited to:
- Work in conjunction with the Project Director and take responsibility of the project budget, monitoring and approving (in consultation with the PD) all project expenditure.
- Preparation and presentation of monthly cost report and forecasts ensuring cost to complete forecasts are as close an estimate of an accurate reflection.
- Timely and accurate allocation and recording of job expenditure.
- Management of site costs and prelims including IR, WHS and QA on site.
- Ensure effective management and use of trades, materials, and resources.
- Monitor project in accordance to the schedules, deadlines and scope of works
- Monitor cash flow projections and report actual cash flow and variance to senior management as per agreed reporting schedules.
- Manage all project funds according to established accounting policies and procedures.
- Ensure all financial records for the project are up to date and uploaded into the system in accordance to internal procedures.
QUALITY AND SYSTEMS
Successfully implement and manage the Company’s Management Systems, to achieve the highest quality project outcome. This shall include but is not limited to:
- Ensuring as best as possible each project is defect free at completion and all defects are promptly attended to during the defect liability period and return of DLP security.
- Ensuring adherence and compliance to applicable codes, practices, QA/QC policies, performance standards, specifications and internal policies and procedures.
- Ensure compliance to agreed Project Management Plan (PMP)
- Completion of project / site audits ensure actions and non-conformances are closed out.
- Review the Contract construction drawings and ensure specification and document registers are updated and potential problems / clarifications addressed promptly.
- Oversee performance of site teams ensuring they carry out inspections and testing, witness subcontractor inspection and tests, collate records and prepare Quality Control (QC) reports for completed construction activities.
- Ensure project and site teams keep up to date diaries and input into the main diary.
- Strive to exceed industry benchmarks with Quality standards.
PEOPLE ENGAGEMENT
Actively manage and engage workforce to achieve desired construction outcomes by ensuring:
- All project staff are properly inducted and trained in line with their occupation.
- Compliance with the IR section of the Project Management Plan
- Compliance with Company policies and procedures
- Attend site meetings and following through on all action points.
- Encourage staff to attend their respective peer group meetings.
- Ensuring timely completion of annual performance reviews and provide coaching and mentoring on individual development plans.
SUBCONTRACTOR MANAGEMENT
Control and coordinate subcontractors to ensure smooth progress and completion of the works in accordance with the construction program, cost and WHSE requirements by:
- Provide leadership to promote subcontractor system compliance.
- Ensure satisfactory subcontractor resources available for requirements to maintain the construction program.
- Full understanding, oversight including timely and quality delivery of scope of works.
