We are currently seeking a vibrant individual to fill the pivotal role of Service Department Administrator. In this dynamic position, you will be at the forefront of our operations, ensuring seamless communication, efficient workflow, and exceptional Customer Service. As part of our thriving organization, you will be immersed in a fast-paced, multi-site environment where growth opportunities abound. From managing work orders and warranties to liaising with contractors and suppliers, your role will be instrumental in driving our continued success.
Key Responsibilities:
- Answering and managing the Service Department phone line
- Efficiently raising and processing work orders and warranty claims
- Reconciling payments for completed work and providing exceptional service to clients at the service reception
- Assisting in managing technicians' timecards, service reports, and providing administrative support to the Service team
- Handling procurement processes, including raising, costing, and processing purchase orders for Service Department and workshop requirements
- Engaging with contractors and suppliers to coordinate workshop and site maintenance repairs and consumable purchases
- Conducting end-of-month job reconciliations and maintaining accurate records of Service Department job cards and paperwork
- Collaborating closely with the Sales and Parts Departments to facilitate new machine preparation orders and spare parts to service job reconciliation
- Taking ownership of the Service Department's operations to ensure efficient workflow, timely completion of tasks, and customer satisfaction
- $55k to $60k + Super
