About the Opportunity
We are seeking a permanent Site Administrator to be based at our Narangba manufacturing facility and office. The successful candidate will be instrumental in supporting the Site Manager to ensure the smooth, safe, and efficient running of the site. This is a permanent full-time opportunity however, for the right candidate, we will consider flexibility including part-time Monday to Friday school hours. This is a diverse role within a well-established organisation that includes the following duties:
- Provision of administrative support to the Site Manager, and other stakeholders as required from time to time to ensure all aspects of the site run smoothly and efficiently.
- Reception duties including greeting visitors, answering calls, taking messages, organising meetings and catering.
- Management of site access for employees and visitors including issuing of keys, security codes and withdrawal of same.
- Booking travel through our corporate travel account in accordance with internal travel policies and procedures.
- Creation of purchase requisitions and orders
- Organisation of site-based events such as BBQs and other annual events
- Ordering uniforms, business cards and personal protective equipment as required from time to time.
- Ensuring stationery and kitchen supplies are maintained and ordered within a timely manner.
- Provision of administrative assistance to the Health, Safety & Environment team.
- Maintaining appropriate archive processes for site documentation
- Organising incoming and outgoing couriers, postage etc.
- Reconciling credit card expenses and submissions and monitoring site expenses where required.
About You
- Minimum 5 years’ experience in a similar administrative role.
- A solutions-oriented, can-do, approach with the ability to quickly move between various tasks.
- Able to communicate effectively in both written and verbal format.
- High level of computer literacy including the ability to use Microsoft Office applications including Outlook, Word, Sharepoint, Powerpoint, Excel as well as Adobe PDF.
- Highly organised with the ability to prioritise workload and schedule tasks to meet deadlines.
- Demonstrated capacity to exercise mature judgement, diplomacy, and discretion.
- Excellent interpersonal skills with the ability to liaise with internal and external stakeholders.
- The ability to show initiative, work as part of a team and adapt to change.
