About this role
The Studio Assistant collaborates closely with the Bid Coordinator and Operations Coordinator to facilitate the creation of submissions and company materials. Your role involves assisting in the daily functioning of the studio, with a focus on managing the submission content library, crafting presentations using templates, overseeing company email accounts, liaising with sub-consultants, and providing general administrative assistance to the team as needed.
Duties & Responsibilities
Retrieve tender documents from online portals
Assist in formatting tenders and presentations using InDesign templates
Manage image libraries for projects and maintain content library for submissions
Record meeting minutes
Aid in coordinating staff meetings, functions, and training sessions alongside the Operations Coordinator
Maintain cleanliness in communal staff areas
Monitor office supplies and inform the Operations Coordinator when replenishment is needed
Attend to incoming calls on the Studio phone when necessary
Manage the studio email account by forwarding and responding to emails as required
Skills & Qualifications:
2-3 years of administrative experience in a professional office setting; Bachelor's degree preferred but not required
Exceptional attention to detail with strong proofreading skills
Effective written and verbal communication abilities, adaptable to different audiences
Confidence in interacting with external suppliers and vendors to secure cooperation
Exposure to submission or bid processes is advantageous but not mandatory
Willingness to be flexible and assist with various studio operational tasks as needed
Proven ability to meet deadlines
Organized and composed approach to work, capable of handling multiple tasks simultaneously
Commitment to fostering a collaborative studio culture and continuous improvement
Proficiency in MS Office Suite, particularly MS Word and MS Excel
Familiarity with Adobe InDesign is desirable
Knowledge of MS Teams and Google Suite is advantageous
