Assistant Sydney is supporting an Australian real estate investment trust with the recruitment of a Team Assistant to support two executives. Recognised for its innovative approach to investments and management, our client is a specialist in creating unique spaces for people, whilst also pledging a commitment to sustainability and community. Due to an internal promotion, we are seeking a dynamic and proactive Team Assistant to provide essential administrative support to two prominent figures as the business embarks on exciting projects for 2024 and beyond.
The Responsibility
An extended job description will be provided, however please see below a brief outline of tasks:
- Support executives with complex diary management and day to day management of tasks;
- Provide support with meeting arrangements including VCs, meeting room bookings, catering & other technical requirements;
- Organise and manage travel requirements with external travel provider;
- Processing and managing approvals of invoices and preparation of team credit card expenses;
- Assist with administrative tasks and document management including photocopying, scanning, printing, collating and binding, typing of correspondence, preparation of agendas, minutes, presentations, compilation of reports, submissions, maintenance of training registers, and mail distribution;
- Preparing agendas, minutes and arranging follow up actions as required
- Provide support in the coordination and logistics of the team’s key events, such as the monthly/ weekly update, morning teas, training and induction sessions and coordinate conference & event attendance.
The ideal candidate will have a minimum of 5 years’ experience as a Team, Personal or Executive Assistant. Exposure to the property, infrastructure or financial services industries will be highly beneficial. You will have excellent organisational skills, strong attention to detail, exceptional communication and interpersonal skills, and a proactive attitude with a growth mindset.
