The Opportunity
Cochlear has a 9-month FTC opportunity for a Team Assistant - Legal role based in our Macquarie, Sydney office. In this role, the successful Team Assistant - legal will provide timely and accurate Executive assistant support to the Group General Counsel and efficient administration and process management of key Legal Department processes so that the Group General Counsel can lead the CLTD Legal and Global Legal teams to support the business to achieve its goals.
Responsibilities include:
- Manage Group General Counsel approval workflow by developing and maintaining an effective methodology for tracking and prioritising action items, monitoring, and reporting on the progression of key projects and managing complex scheduling needs including non‑meeting time to allow work priorities to be delivered.
- Act as general contact for CLTD Legal team, answer process queries, correctly distribute requests to the appropriate lawyer within the CLTD Legal team, ensure signed contracts received by CLTD Legal are provided to the Contracts Administrator
- Manage the Xakia legal matters online database including administration of processes, setting up external law firms/billing contacts, maintenance of data quality, particularly accuracy and completeness (e.g., closing matters), and production of routine reports.
- Assist Group General Counsel with CLTD Legal team HR processes, including maintaining leave calendars, org charts, email groups and shared calendar, and ensuring deadlines (e.g., CLE or MPP processes) and contractor and consultant contract end dates are monitored and observed.
- Collate and prepare law firm invoices for processing against purchase orders by Accounts Payable to appropriate payment terms.

Essential
- Minimum 5 years of experience in the provision of administrative support to an in-house or law firm legal team
- Experience providing executive assistance to a law firm partner and/or Group General Counsel
- Experience in dealing with confidential information and sensitive issues at a high level of security, discretion, and ethics.
- Demonstrated ability to deal with issues and determine priorities to meet deadlines.
- Ability to take initiative and work without constant supervision.
- Strong organisational skills and the ability to co-ordinate tasks.
- Demonstrated ability to prepare presentations, reports and correspondence.
- Strong attention to detail and accuracy of document production.
- Excellent oral communication and interpersonal skills.
- Proficient computer skills with advanced knowledge and application of Microsoft Office including Word, Excel, and PowerPoint
Desired Skills
- Experience working in a global organisation or scheduling meetings across time zones.
- Basic level of knowledge of Microsoft Vision.
- Experience using Oracle ERP, including iProcurement and iExpenses.
- Experience in organising off-site multiple-day residential conferences.
- Proficient with Xakia Legal Matter Management Software for In-House Legal Teams
- Experience using Diligent Board Paper Online Portal
- Experience taking and documenting meeting minutes.
