About the role

Based at home and Sydney CBD office the successful candidate will provide administrative support to our General Manager, Life and assist the wider team to achieve business objectives. 

Key responsibilities

  • Providing day to day support for the General Manager – Life
  • Maintaining the calendar for the General Manager - Life and co-ordinating meetings as needed.
  • Drafting and producing correspondence, presentations and reports both of a general and confidential nature.
  • Attending meetings as required and taking minutes/notes.
  • Ensuring adequate supply of office supplies for Life team use. (letterheads/Envelopes/Paper/PDS’s and any additional sundry items while WFH and in the office) and re-ordering as needed.
  • Co-ordination of travel and accommodation as required
  • Managing processing of invoices and purchase requisitions.
  • Assisting GM & CFO, Life with Life risk & compliance requirements – maintaining staff databases, KCT schedules & keeping track of Life team compliance module completion.
  • Provide ongoing administrative support to the Life leadership team.
  • Manage the monthly Life Team Meeting and engagement activity.
  • Assist in liaising with a range of internal and external stakeholders as required for the preparation of correspondence and in the handling of general queries and requests.
  • Other ad-hoc duties as necessary.

About you

To be successful in this role, you will demonstrate the following qualifications, experience and skills:

  • Demonstrated 2-3 years’ experience in administration working in an office/ customer service/ operational environment
  • Strong interpersonal, communication and negotiation skills to tactfully liaise with a variety of stakeholders including executive level management, internal and external customers, whilst maintaining positive relationships.
  • Ability to work autonomously, employ initiative to find solutions, prioritise, exercise discretion and maintain confidentiality/data security.
  • Strong organisational, administration and computer skills, particularly in Microsoft Word, Excel, PowerPoint, Outlook and Microsoft Project.
  • Ability to work under pressure and multi-task in a fast-paced environment.
  • Ability to actively participate to achieve team goals.
  • Ability to manage time and resources effectively.
