As part of our growth strategy, we are seeking a dynamic and driven individual to join our Group Sales team as a Tender & Bids Coordinator.
About the role
As a Tender & Bids Coordinator, you will play a pivotal role in coordinating competitive tender and bid submissions, that are aligned with approved pricing and relevant commercial criteria as well as maintaining an updated database of group wide tender submissions and serving as the organisation's primary contact for all bids.
Key Responsibilities:
- Manage the creation, updating, and organisation of tender and contract documents.
- Monitor national tender releases and statuses, and share relevant notifications with internal stakeholders.
- Act as an internal subject matter expert for all tender and bid related inquiries.
- Ensure all tenders are submitted within agreed tender submission dates.
- Ensure clear channels of communication are available between Kennards and the customer to ensure tender requirements are understood.
- Collaborate with cross-functional teams to optimise opportunities with a unified approach to tenders and contracts.
- Coordinate rate cards by maintaining, renewing, and updating them, while ensuring timely communication with sales teams and accurate loading into the system.
- Continuously evaluate sales administrative processes and identify improvement opportunities.
- Proactively communicate with internal and external stakeholders to foster greater business engagement.
- Develop a thorough understanding of safety and contract needs specific to sites or tenders.
- Collect customer feedback to enhance tender and bid submissions.
- Use customer insights to refine processes and drive growth.
- Provide quarterly status reports to key stakeholders on submission results.
About you;
You are a proactive, detail-oriented professional with a strong track record in tender and bid coordination. Your exceptional communication skills, analytical thinking, and adaptability make you well-equipped to coordinate tender and bid activities effectively. You thrive in dynamic environments, prioritise achieving results, and are committed to excellence in all your endeavors.
Required experience;
- Sound understanding of tender submission best practice and maintenance of a tender submission database.
- Thorough understanding of tender and bid requirements and the ability to critically review the tender document for commercial congruence, quality, and accuracy.
- Proven track record in coordinating and drafting competitive bids and or tenders within the construction industry, or equivalent.
- Experience liaising with team members to gain the information required to complete a task within a required timeframe.
- Have excellent written and verbal communication skills, including the ability to negotiate with internal stakeholders to ensure high quality & timeliness
- Solid computer literacy with at least intermediate level Microsoft Office suite.
- Ability to work autonomously as well as in a team environment.
