Job Description
The Travel and Scheduling Coordinator provides efficient and cost-effective planning, coordination and administration of Consultant scheduling and Employee travel. Travel is inclusive of any means of transport for which an expense is incurred.
This is a part-time role (4 days per week) primarily based in Melbourne with hybrid working arrangements available. This role is fixed term to cover for Parental leave for 12 months. We are seeking a Travel and Scheduling Coordinator who can work the hours 8.30am to 4.30pm Monday, Tuesday, Thursday and Friday.
Responsibilities include but not limited to:
- Determine consultant availability by direct liaison with consultants;
- Liaise with State offices regarding specific consultant needs;
- Create and maintain a database for production of monthly consultant scheduling (by State and Consultant);
- Maintain hotel and airline corporate rate contracts
- Maintain a Travel and accommodation database to reflect all Travel and accommodation bookings made and expenses incurred by stakeholders.
- Reconcile the stakeholders Credit Card statement used for Travel and accommodation ensuring all charges are allocated to an authorised Cost Centre.
Qualifications
The successful candidate will have:
- Minimum 3 years in supporting the health sector in an administrative / practice management role.
- Experience in invoicing, cost reconciliation and debt management.
- Experience in coordinating and delivering client focused business processes and services.
- Willingness and ability to learn and adapt quickly to change.
- Be able to meet tight details with accurate and attention to detail.
- Excellent oral, written and interpersonal communication skills.
- Demonstrated ability to work independently and within a group environment.
