About our clientOur client is a thriving not-for-profit organisation who operate on a global scale, and hence require additional support from a Travel Coordinator to join their business on a 6-month basis with the potential to extend.
About the Role
As the Travel Coordinator, you will be responsible for coordinating staff travel across the business. You will provide administrative support to coordinate Forming part of the broader travel team, your day-to-day duties will include the following:
- Manage international travel logistics, including fellowship program support and visa coordination.
- Collaborate with team members, ensuring autonomy after training to meet deadlines and adhere to travel policies.
- Process travel requests using a system and form setup, review and align with event dates, and coordinate with travel agency for quoting and booking.
- Track travel quotes and approvals, prioritizing deadlines and addressing last-minute travel needs.
- Utilise Salesforce to track cases, manage responses, and maintain clear communication within the team.
- Manage visa requests internally, collect required documentation, and liaise with consulates for travelers.
- Assist in processing expenses, including the second-largest expenditure, travel arrangements, and conference-related tasks.
- Handle emergency situations, such as canceled flights, accommodation, connecting flights, and visa issues.
You will be experienced in travel coordination and enjoy working in a busy, collaborative team environment. You will bring strong administrative skills and exceptional attention to detail to ensure you capture the finer needs of each specific case whilst processing the workflow in a timely manner.
You will ideally bring:
- Travel industry experience with knowledge of international fares and ticketing.
- Demonstrated experience servicing multiple travelers and groups.
- Flexible and friendly attitude with ability to manage expectations and liaise with a diverse range of stakeholders.
