Position Objective:
This permanent part-time role (3 days per week) as an Accounts Clerk entails responsibilities for data entry, invoicing, handling accounts payable duties as well as some general administration duties.
Duties and Responsibilities:
Assisting with Accounts Payable and Receivable for Building Code VIC and Philip Chun Essential Services, including but not limited to the following tasks.
Accounts payable:
- Processing and coding AP voucher in accordance with accounting procedures.
- Posting General Ledger entries for all Bank-related transactions and periodic reconciliation.
- Liaising with suppliers as required.
- Setting up new suppliers within a system, verbal confirmation of Bank details, obtaining PI, PL & WC certificates form external consultants.
- Processing employee expense claims, ensuring proper documentation and correct allocation to relevant projects.
- Processing credit card expenses, verifying documentation, and allocating expenses to relevant projects.
- Payment of supplier invoices within approved payment terms.
Client invoicing:
- Generating invoices and uploading invoices on client’s portals or emailing to the relevant party
- Ensure a high degree of invoicing accuracy, paying attention to
- cross checking the client fee acceptance is on file
- details such as the billing client
- Purchase Order number and
- ledger code are all correct.
- Managing invoice amendments and corrections as required.
- Provide insurance, workcover, statutory declarations etc at the time of the invoice, as required.
- Generating account statements/project reconciliations.
- Performing account reconciliations.
- Investigating and resolving any irregularities or inquiries.
- Assist Accounts Manager as necessary.

- Prior experience with Deltek Vision highly regarded.
- Proficient in Microsoft Office, particularly advanced in Excel.
