Your OpportunityAs an Accounts and Customer Support Coordinator, you will play a crucial role in ensuring the smooth functioning of our operations by managing various administrative tasks including customer invoicing and support, employee time coding, raising and coding of project / purchase orders, and general administration duties and support. This position requires a demonstration of attention to detail, strong organisational skills, and the ability to multitask effectively.
You will be responsible for providing high quality, responsive and timely administration support to allocated business units to ensure effective site administration and as part of the wider Central Administration Group (CAG).
Your Responsibilities:
- Preparation of external and internal invoicing between local and Inter Company groups including aircraft maintenance accruals and other special projects.
- Accurate and timely interpretation and system data entry and maintenance which will include:
- Project Management
- Project Cost Registration
- Purchase Orders
- Closure of work order/processes
- Corporate Credit Card delegate coding as required.
- Timely and accurate processing of supplier invoices in accordance with procedures.
- General Office duties with the inclusion or directing calls; visitor base pass access; meeting minutes; filing and archiving; Word Processing, Excel data input and Power Point presentations; general office enquiries; and monthly timesheet management
- Purchasing and record management of general site items in accordance with financial delegations.
- Time Registration: ensure employee time registration is entered and confirmed on a daily basis, and perform time critical fortnightly time reconciliation to ensure accurate reporting to payroll
- Administration of local employee security requirements: Permanent Base Passes; Police Checks; and ASIC passes.
- Coordinating travel such as: accommodation; hire car; flights; and expenses IAW company procedures
- Provide excellent customer and contract stakeholder focus.
- Proven experience in an administrative role, preferably in a similar industry, with sound experience in work order management and invoicing.
- Strong proficiency in Microsoft Office Suite and other relevant software applications.
- Excellent communication skills, both written and verbal.
Ability to prioritise tasks and manage time effectively in a fast-paced environment. - Attention to detail and high level of accuracy in all work.
- Knowledge of principles and experience with invoicing procedures is desirable.
- Familiarity with time management and procurement systems/software is an advantage.
- Australian citizenship or permanent residency required.
