Chrysalis Montessori School is an independent school offering curriculum based on the Montessori philosophy for 3 - 12 year olds. Chrysalis is 10 minutes from the city centre and is located next to parklands and the Herdsman wetlands. Chrysalis is seeking a front office Administration Assistant part time (approximately 20 hours per week). The role is responsible for providing reception and administrative support to the Chrysalis front office.
The position description of key responsibilities and duties are:
Front office / reception
- Provide coverage for the front office / reception which will include the greeting of parents, students and visitors
- Responding to inquiries either in person, via the telephone or through the school email
- Following up on messages received as required
- Receipting of monies and using EFTPOS machine
General Administration
- Assist in the preparation and relevant documentation
- Ensure front office processes are completed
- Open and distribute mail
- Oversee the distribution of the school administration emails
- Photocopying and scanning where required
- Complete all filing and ensuring it is undertaken in a prompt and orderly fashion
- Maintain adequate stationery, office and cleaning supplies
Communication
- Assist in preparing marketing material as required
- Work collaboratively within the team
Chrysalis Playgroup
- Receive and manage phone enquiries for playgroup
- Manage enrolments for playgroup
- Maintain waitlist and process application for enrolment
- Compile and send out welcome letters to new families
- Manage and maintain database (masterlist) of enrolments
- Manage playgroup distribution list
- Preparation of report for invoicing
Other Duties
- School Stream - notifications
- Administration and Outlook Calendar
- Teacher class weekly attendance forms
- Absentee notices' and recording student absents on MAZE daily
- Excursion and camp related communication including permission forms
- Maintain student health files
- Facebook and Marketing
- School events photos
- Purchasing and checking deliveries
- Policy and Procedures in administrative practices
- Record retention and archiving

Essential criteria include:
- Demonstrated experience in providing effective administrative support with the ability to organise and prioritise tasks effectively.
- Proficiency in using Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, SharePoint to perform various administrative tasks efficiently.
- Meticulous approach to work, ensuring accuracy in all tasks, from data entry to document preparation and event coordination.
- Demonstrated good interpersonal skills and ability to work unsupervised and in a team environment.
- Proven ability to manage multiple tasks, prioritise responsibilities and maintain an organised workflow in a busy environment.

Desirable Criteria include:
- Familiarity with the operations and dynamics in a school environment
- Experience with MAZE school data base, specifically in managing school attendance.
