We are looking for an exceptional Administrative Assistant to support our Property, Assets and Independent Living team. A genuine love for people is critical as you will be working closely with the residents, contractors and the maintenance team to provide smooth, responsive service to our village residents.
Duties will include:
- Assist with coordinating the planned maintenance for the Residential Aged Care Facilities and Independent Living Units as per the Planned Maintenance Schedule.
- Function as the contractor liaison for maintenance works in the village and manage all purchase orders for jobs completed by the contractors.
- Process Maintenance requests and distribute for completion.
- Raise and distribute purchase orders for planned maintenance and prepare subsequent invoices for payment.
- Liaise with contractors and Residential Aged Care Site or residents in Independent Living Units for works to be undertaken.
- Ensure all contractors possess the appropriate compliance to complete works on the sites
- Manage BlueForce within the corporate head office and Village
- Replace, repair, maintain and install emergency phones in resident units.
- Provide initial orientation of the emergency phone to the resident and assist residents with ongoing function and use.
- Provide ECS phone support to Village staff and residents in Satellite village locations (Albany and Denmark).
Essential:
- Excellent verbal and written communication skills.
- A pro-active professional with a strong customer-focused approach.
- A demonstrated ability to work with a broad range of people from varying backgrounds.
- High level of attention to detail and an ability to prioritise work and multi-task.
- Advanced Computer Skills “Microsoft Office” and the ability to utilise specialised computer programs.
- Current National Police Clearance (no older than six months)
- Mandatory proof of vaccinations relevant to the position (Influenza/COVID-19 etc.).
- Current Full Western Australia Driver’s License.
