Position Overview
The Administration Assistant at Metro Conveyancing is an essential member of the team, providing vital administrative support to ensure the efficient functioning of the conveyancing process. This role involves handling various administrative tasks, assisting conveyancers, maintaining accurate records, and contributing to the overall success of property transactions. The Administration Assistant plays a pivotal role in upholding Metro Conveyancing's commitment to delivering exceptional service to clients.
Key Responsibilities
- Respond promptly and professionally to inquiries, providing updates and information as required.
- Coordinate appointments, meetings, and follow-ups, ensuring effective time management for the team.
- Accurately enter transaction details and client information into databases and case management systems.
- Maintain well-organised and up-to-date records of transactions, communications, and documentation.
- Draft emails, letters, and other correspondence in alignment with conveyancers' instructions.
- Maintain physical and digital files in an organised manner for easy retrieval.
- Assist clients with general inquiries, directing them to the appropriate team member when needed.
- Support conveyancers in conducting research related to property titles, regulations, and legal requirements.
- Assist in coordinating settlement logistics, including liaising with parties involved and arranging necessary documentation.
- Assist in ensuring adherence to legal and regulatory requirements in property transactions.
- Monitor and replenish office supplies as needed to maintain a productive work environment.
- Undertake other administrative tasks as directed by your manager.
Qualifications and skills:
- Conveyancing experience highly desirable (but not essential)
- Previous experience in an administrative role is advantageous.
- Certificate III in Business or similar (advantageous but not essential)
- Exceptional organisational abilities with acute attention to detail.
- Strong verbal and written communication skills, displaying professionalism in client interactions.
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn new software systems quickly.
- Efficient time management skills, capable of handling multiple tasks and prioritizing effectively.
- Willingness to collaborate within a team-oriented environment, supporting colleagues and contributing positively to the team dynamic.
- Resourcefulness in identifying and resolving issues as they arise.
- A commitment to delivering excellent service and maintaining a positive client experience.
- Ability to adapt to changing priorities and handle a dynamic workload.
- Exercise discretion and maintain confidentiality when dealing with sensitive information.
- Enthusiastic and eager to contribute to the success of the team and organization.
- High school diploma or equivalent; additional education or relevant certifications are a plus.
- Previous experience in a legal or real estate administrative role is beneficial.
