Administration Assistant (Daydawn Advocacy Centre)
Permanent, Part-time (0.53 FTE – 20 hours per week, 5 hours per day)
Preferably Monday to Thursday 9am – 2.30pm including meal break
ABOUT THE AGENCY
Daydawn Advocacy Centre is an outreach agency of the Catholic Archdiocese of Perth which seeks to assist Aboriginal and Torres Strait Islander Peoples and advocate on their behalf. Services include provision of legal and social advocacy services for the Aboriginal and Torres Strait Islander Peoples.

WHAT YOU CAN EXPECT TO DO
The Administration Assistant provides professional administrative support, encompassing a variety of tasks to support the operations of the agency. This role provides secretarial support, record keeping, and reception duties. The Administration Assistant works under supervision and will report to the Daydawn Director, while maintaining close working relationships with other Daydawn staff and volunteers.
Key responsibilities include but are not limited to:
- Responsible for the day-to-day general office duties, including the opening and shutdown routines
- Receive and welcome clients
- Answer incoming telephone calls, direct calls and take messages for Daydawn staff
- Collect the mail
- Proactively manage and attend to mail and email correspondence within agreed criteria and as guided by the Director, including triaging matters to Daydawn staff in a timely manner
- Provide administration support including word processing, photocopying, record keeping and filing as required
- Maintain office supplies inventory
- Maintain a high level of confidentiality in all dealings, including with visitors, staff and external parties
- Communicate with the IT Team to ensure information on the Daydawn website remains accurate
- Assist the Director to organise functions and social occasions as required
- Support with maintaining electronic calendars, schedule, arrange and confirm appointments and meetings for Daydawn Director and staff as required
- Develop and maintain office systems for filing and record keeping; support with archiving of documents
- Maintain agency statistics and client files as requested by the Director and/or Tenancy Lawyer
- Ensure processing of accounts for Daydawn and maintain a petty cash impress system
- Maintain asset and inventory register
- Ensure the premises are kept clean and orderly

No formal qualifications required
Skills & Experience
Essential:
- Minimum two (2) years’ experience in an administration role
- Intermediate level computer skills, including in the Microsoft Office suite (particularly Word and Outlook)
- Strong communication and interpersonal skills
- A willingness and capacity to support the Catholic ethos
- Awareness of the type of issues faced by Aboriginal and Torres Strait Islander Peoples
- Capacity to interact positively and respectfully with people
- Demonstrated organisation skills and attention to detail
- Excellent time management skills
- Ability to maintain a high standard of confidentiality
- Able to work as part of a team
Desirable:
- Experience working in a Catholic organisation
- Social Welfare background / experience
- Experience working with Aboriginal and Torres Strait Islander Peoples
- Understanding of the histories and perspectives of Aboriginal and Torres Strait Islander Peoples

- Respects boundaries and practises self-care
- Ability to handle challenging situations in an appropriate manner and according to organisational guidelines
If successful in securing the position, the applicant must provide a valid National Police Clearance, and proof of Right to Work in Australia.
