The Administrative Assistant holds a pivotal position in supporting our Legal and Corporate Safety teams. We are seeking an individual with outstanding organisational, communication, and problem-solving skills, coupled with the ability to manage sensitive information discreetly. This role demands a proactive and detail-oriented professional capable of adapting swiftly to evolving priorities, maintaining composure under pressure, and ensuring sustained productivity and effectiveness.
Reporting to the Executive Assistant/Assistant Company Secretary, your role will include:
- Organising meetings including writing agendas, taking minutes, and setting up IT requirements.
- Coordinating management meetings, team meetings, workshops including organising venues and catering.
- Acting as a point of contact between the Executives and internal/external colleagues.
- Actioning payment of invoices including obtaining approvals, keeping tracking sheets and assisting with department yearly/monthly budgets
- Credit card management and reimbursement through SAP Concur
- Supporting the annual budget process and ongoing cost management.
- Maintaining confidence and protects operations by keeping information confidential.
- General administration including ordering business cards for team members, ordering, and replenishing stationery, ordering workshop requirements, point of call for car bay availability for team.
- Assisting with the preparation of legal documents, contracts, and correspondence.
- Scheduling and coordinating meetings, appointments, and travel arrangements for legal staff
- Business Administration Diploma or equivalent
- Microsoft Office Suite, essential (PowerPoint, Word, Excel)
- Advanced IT skills desirable
- Confidentiality essential
- Establishes and maintains effective relationships with internal and external stakeholders
- Excellent communication skills, verbal and written
- Attention to detail – maintains a high level of accuracy
- Planning and time management – ability to plan and prioritise work to meet deadlines
- Ability to work under pressure
