Qualifications & experience
- Previous experience in office administration or management, preferably in a similar industry.
- Proficient in bookkeeping/accounting using Xero and Aroflo (preferred) or other relevant office management software.
- Strong communication and interpersonal skills to interact with customers and team members.
- Excellent organizational and multitasking abilities to handle various tasks simultaneously.
- Attention to detail and accuracy in data entry and administrative tasks.
- Ability to work independently and as part of a team in a fast-paced environment.
- A customer-centric approach and a dedication to providing excellent service.
- Problem-solving skills to address customer inquiries and resolve issues effectively.
- Familiarity with plumbing terminology and processes.
Tasks & responsibilities
- Communication with the Customers: Answering incoming phone calls, emails, and SMS inquiries from customers promptly and professionally.
- Managing Customer Data: Collecting and organizing customer details accurately and maintaining a customer database for future reference.
- Job Scheduling: Efficiently scheduling plumbers' daily activities, ensuring optimal use of their time and resources.
- Invoicing and Payments: Handling the invoicing process and processing customer payments promptly.
- Quoting: Preparing accurate and comprehensive quotes for potential customers based on their requirements.
- Accounts Management: Managing accounts, including receivables and payables, and coordinating with the finance team as needed.
- Software Experience: Preferred experience with Xero and Aroflo to efficiently handle financial and operational aspects.
- Office Organization: Keeping the office space organized and maintaining supplies as needed.
- Team Collaboration: Coordinating with the plumbing technicians and other staff to ensure seamless communication and workflow.
- Problem-Solving: Resolving customer issues and complaints effectively and professionally.
