Administration Officer
The Council of Ambulance Authorities is looking for a highly motivated Administration Officer who will support the General Manager in running a portfolio of long-standing partnerships, as well as evolving new business opportunities into mutually beneficial partnerships.
This role could be suitable for an experienced sales or administration assistant who is looking to step up and progress their career into the for-purpose sector.
This permanent full-time role (Monday – Friday, 9am – 5pm) will be based in our Western Adelaide office, with a starting date in April 2024.

The Organisation
The Council of Ambulance Authorities (CAA) is the peak body for the Australian, New Zealand and Papua New Guinea ambulance sectors and works tirelessly to collaborate on ambulance and pre-hospital issues of metropolitan, regional, national and international significance.
The CAA is a charity and non-for-profit organisation that works with its members to explore opportunities for improvement and innovation and to advocate on the sector’s behalf in key areas. CAA runs internal and public facing awareness campaigns such as Restart a Heart Day.
About the Role
Reporting to the General Manager, and working closely with the marketing, communications, and events team, this newly created position plays a crucial part in looking after a portfolio of long-standing partnerships, growing new opportunities and partnerships to support organisation’s activities, campaigns, and provide with ongoing sustainable funding.
The ideal candidate will possess:
- Administrative or sales experience; sponsorship or partnership experience is desired but not necessary.
- Proven administrative skills.
- Strong attention to detail.
- Great networking and relationship building skills.
- Excellent verbal and written communication skills, along with excellent interpersonal skills.
- Proven organisation skills, including excellent time management, prioritisation, delegation and managing conflicting demands, with ability to work to deadlines.
- Ability to work independently and as a part of a broader team.
- Proficient knowledge of typical office software applications; must include strong knowledge of MS Office.
- Professional discretion.
- Ability to travel interstate as necessary.
- Be eligible to work in Australia.
Main responsibilities:
- Provide general partnership and sponsorship administration to the General Manager, including organising meetings, partnerships calendar, tracking progress, maintaining CRM system, ensuring regular communication with sponsors and partners.
- Communicate and liaise with partners and sponsors to help nurture existing relationships and build new ones.
- Identify and research new business prospects, assist in creating compelling proposals and pitches to grow corporate partnership portfolio.
- Assist the General Manager with the preparation of bespoke partnerships collateral and materials.
- Prepare regular reports on partnership targets to keep on track to hit set annual KPIs and goals.
- Assist with administrative tasks in relation to advertising or promotional material.
- Update budgets and growth targets for the corporate partnership’s portfolio.
- Assist with development of engagement and communication plans with partners.
- Work collaboratively with CAA teams to ensure partner relationships are fostered and funding obligations are met – on time, to budget and agreed specification.
- Support the continuous improvement of operations, processes, and ethical fundraising practices.
