Prendiville Catholic College encourages enthusiastic applicants to apply for the position of Administration Officer - College Organisation.
This is a part-time (2 days per week), permanent position within our Administrative team, commencing as soon as possible.
Purpose of the Role
The Administration Officer – Campus Organisation, is directly responsible for the coordination of staff absences, the allocation of staff and contracted relief teachers, supporting the learning programs of the College. They are required to manage the College calendar, including the scheduling of academic and community events. This role also provides administration assistance for the organisation of external testing, and any changes to the regular organisation of the school, associated with this.
Experience with the full range of Microsoft Office software is essential and knowledge of SEQTA would be an advantage.
Key responsibilities and Duties:
Coordinating Staff Relief for Teachers and Education Assistants:
- Receiving daily communication from staff advising the College that they are unable to attend work.
- Record all staff absences using Edval Daily, ensuring alignment with SEQTA.
- Inform staff and students of any changes to school arrangements caused by teacher absences and College events.
- Coordinate and schedule relief teachers as required for staff absences of both Teachers and Education Assistants, as determined by the College VTR process.
- Ensure that contracted relief teachers are equipped with the resources required to fulfil their relief duties.
- Ensure that contracted relief staff meet all relevant TRBWA (Teacher Registration Board of Western Australia) and CEWA (Catholic Education Western Australia) employment requirements.
- Keep the College Relief spread sheet up to date, ensuring it is accurate and completed on time.
Campus Organisation:
- Keep track of any variations to the College Calendar and allocate resources as required.
- Update staff regarding any short-term variations to the College Calendar
- Coordinate teacher and rooming resources for short and long-term variations to the College Calendar.
- Arrange all room changes associated with events within the College.
- Assisting with exam preparation and liaising with invigilators as required for the May and September exam periods.
Other Duties:
- Attend meetings and/or professional development as required by the College.
- Be responsible for professional conduct and demonstrate an understanding of and commitment to the Catholic ethos of the College.
- Other duties as directed - This may include assisting with other administrative tasks throughout the College.
Essential Criteria:
- The ability to use initiative and work independently, as well as a high level of collaboration skills for a team environment.
- Excellent administrative skills including the use of software programs, including the MS Office suite. Experience with other education related software is highly regarded.
- A willingness to undertake professional learning in areas of academic software, College administration and best practice for students.
- The ability to work within and foster an inclusive school environment following the College’s Vision for Learning.
Statutory Requirements for the successful applicant:
- Current Working with Children.
- Nationally Coordinated Criminal History Check issued by the Department of Education.
Desirable:
- School experience.
- Knowledge of AoS and SEQTA.
