Ace Plus is seeking an experienced administrator to join our operations team in our Maylands office on a full-time permanent basis.
This role will suit an all-rounder administrator who is looking to upskill into project admin.
What you’ll be doing at Ace:
In this role, you will be responsible for managing our client portals and providing all-rounder administrative support to the operations team in relation to work orders, projects, reporting, EOM and invoicing.
What a typical day in this role might look like:
- Client portal management
- Client invoice upload and management
- Ensuring client KPI’s are met
- Managing extensions, PO’s and cost variations
- Management of monthly PPM from scheduling to EOM
- Accounts administration including invoicing
- Liaising with the Finance team regarding aged receivables
- End of month preparation for major clients
- Providing administrative support for project start-ups and handovers
- Creating jobs in SimPRO and scheduling trades within timeframes
- Booking of accommodation and flights
- Managing contract and subcontractor compliance
- Ensuring contractual prestart requirements are complete
- Compiling client O&M (Operation & Maintenance Manuals) for handover
- Assisting with the roll out of Safety Minder
- Effective filing of contract and project documentation
- Liaising with supervisors to chase up outstanding quotes/work orders
- Dealing with client queries and complaints through to resolution
- Liaising with clients regarding urgent or pending work orders
- Assisting the scheduling and operations team as required

What you'll bring to our team:
- Minimum 3 years experience in a senior administration role
- Previous knowledge of business systems and portals essential
- Previous project admin experience in the building industry will be highly regarded
- Experience actioning high volume calls/emails
- Sound MS Office knowledge (Excel)
- Ability to work in a fast paced environment
- Friendly, outgoing personality with a passion for project delivery
- Advanced communication skills across all levels
- Ability to prioritise tasks and take initiative
- Strong attention to detail and accuracy
- Ability to work cooperatively in a team to achieve outcomes
