Yulu-Burri-Ba are currently seeking to fill the position of Administration Support Officer – Family services. This position is a full-time temporary position - contract until 1st September 2024.

Administration Support Officer – Family Services
This position is responsible for the provision of effective and efficient administration and service coordination to contribute to the achievement of Family Services business objectives.
General responsibilities
· Provide a high standard of customer service.
· Oversee the general conduct and status of the waiting area.
· Meet and greet all clients and visitors in a welcoming and respectful manner.
· Attend to and direct general enquiries.
· Provide general administrative support to the Family Services Hub including photocopying, compilation of materials/folders, preparation for program activities.
· Assist with data entry and uploading documents into client records.
· Answer telephone calls promptly, record messages accurately and relay messages promptly to the relevant provider, including contact details and level of urgency.
· Generate Medicare Payment Reports for Finance
· Fire Safety Advisor – responsible for updating evacuation plans & implementing procedures.
· Health & Safety Representative -- Attends WH&S Meetings, documents staff workplace incidents
· Communications Officer – Principal Communication person for emergency services & staff Communication and Evacuation instructions.
Position Duties
· Provide direction, support, and feedback for all team members.
· Manage and lead the Kinship and Foster Care team.
· Undertake planning activities and project tasks.
· Develop and continue to build a program that is safe, secure, and stable; family centred, connected to community; and which relies on evidence-based practice necessary to support contracted services.
· Provide support, supervision, assistance, and training the KFC Team which includes the YBB Finding Kin officer.
Selection Criteria
Essential
- Demonstrated high level of interpersonal skills including a high standard of customer service.
- Understanding of the practical application of principles of privacy and confidentiality in relation to client information
- Professional presentation
- Ability to multi-task and work effectively in a busy fast paced environment and adapt to unexpected changes/events.
- Excellent communication and telephone manner
- Current Blue Card (working with children and young people)
Qualifications/Experience
- Health and Safety Advisor - or wiliness to undertake training.
- Certificate III in Business, Medical Administration – or willingness to obtain.
Practical Requirements
- Current Cardiopulmonary Resuscitation
- Current First Aid Certificate
- Proof of Immunisation Status
