Job description

The Catholic Diocese of Townsville was established in 1930 and it covers an area extending from Townsville, to the Whitsunday and Burdekin regions , to Ingham and Halifax,  Winton and encompassing Mount Isa and several small, isolated western towns.

The Catholic Diocese of Townsville is seeking applications for a Research and Administration Support Officer in this newly created position. This position will work 37.5 hours per week on a full time permanent basis located at our Townsville Office. This position is Monday to Friday working 8:30 am to 5:00pm. 

Duties include but are not limited to; 

  • Coordinate the collation of relevant historical documents for review by the Director Safeguarding, Culture and Shared Services.
  • Coordinate the collation of relevant documents in relation to current Church personnel for review by the Director Safeguarding, Culture and Shared Services.
  • Monitor, log and record all incoming safeguarding related enquiries, consultations, reports and emails for referral and action.
  • Log and record all responses from the Department responsible for Child Safety and Queensland Police Service (QPS) on behalf of the Director Safeguarding, Culture and Shared Services.
  • Contribute to conducting audits of safeguarding documentation, such as Australian Catholic Safeguarding Limited (ACSL) self-audit checklists and guidelines to ensure currency and that correct information is available.
  • Provide data reports on service demand and usage across the identified shared services that the Director Safeguarding, Culture and Shared Services is responsible for.
  • Provide administrative assistance with the preparation and review of Service Partnership Agreements (SPA).
  • Conduct audits, monitor and reconcile compliance with the safeguarding personnel, Blue Card, National Police Checks and Australian Catholic Ministry Register (ACMR) registers.
  • Ensure the accurate editing and drafting of safeguarding documents, resources and materials.
  • Maintain a focus to quality systems and documents by uploading new and revised documents to electronic record keeping systems, ensuring a commitment to accuracy.
  • Liaise as necessary with other internal stakeholders across the Diocesan Shared Services and work collaboratively with Townsville Diocesan Archive Centre staff.
  • Assist with overflow reception support as required.

Requirements

  • Previous experience in records management administration preferably within child protection/safeguarding practices (preferred).
  • Previous experience and proficiency providing high level administrative support.
  • Demonstrated ability to professionally communicate and liaise with a range of stakeholders internal and external regarding sensitive matters.
  • Ability to research, collate and present information to the Director Safeguarding, Culture and Shared Services and other stakeholders as required.
  • High level of computer literacy including the Microsoft and Google suites.
  • Strong organisational and time management skills to prioritise workloads, meet deadlines and use initiative, flexibility to change when the need arises.
  • Ability to maintain a high degree of professionalism and confidentiality in all areas of work.
  • A demonstrated ability to develop and sustain productive working relationships.
  • Paid Working With Children Check 
  • Ability to pass a National Criminal History Check
  • Drivers Licence
