Position: Administrative Assistant
Location: Perth
Duration: 12 months contract & potential for contract extension
Schedule: Monday – Friday & 9 hours per day
Responsibilities:
- Event Management for internal and external stakeholders set up of group meetings / peer reviews / town halls)
- Team building events, sundowners.
- VIP events, community engagements, family day
- Adhoc Project Manager Calendar Management
- Purchasing of equipment and services
- Organize Training courses
- Organize PPE & safety equipment
- Ordering Stationery, Ergonomic supplies & Merchandise
- Coordinate Onboarding & Offboarding for internal moves for Employees, Agency Hires, Contractors and Secondees
- Involve with Office management: including workspace allocation.
- Document approvals: Coordinate the flow of all documents for approval / signature, including meeting notes & briefing materials.
- Adhoc reporting as required by function.
- Assist with site travel via INX and TABS systems.
- Assist with International & Domestic travel via CTREX system.

- High attention to detail and confidentiality required due to the sensitive nature of documentation and information that is managed by the Department.
- Excellent written and verbal communication skills as this position will interface with various internal and external stakeholders.
- Able to work autonomously or in a team environment and support the additional team members.
- Adaptable and flexible to last minute changes, requests as well as identifying process improvements for implementation across the Admin Team.
- Proficient in Microsoft Office suite.
