ABOUT WEST HAWTHORN PRE SCHOOL
We are community based, sessional kindergarten providing two programs for three-year-old and two programs for four-year-old children. Established in 1947, West Hawthorn Pre-school has been providing enriching learning experiences for over 70 years. ABOUT THE ROLE
The role of the Administration Officer is to provide administrative support to the Director and the Committee of Management (the Committee) (employer), enabling centralisation of all administrative tasks for WHPS. Assisting the Director and the Committee with the efficient administration of the service in accordance with all applicable legislation and regulations, including the Education and Care Services National Law (National Law) and Education and Care Services National Regulations.
Responsibilities include:
- Business administration tasks such as report preparation and filing
- Liaison with external organizations, such as the Department of Education, ELAA and Boroondara Council
- Staff onboarding and maintaining personnel files
- Payroll management including timesheets, leave records, and payments
- Bookkeeping duties using Xero, collaborating with the Treasurer on financial reports and budgeting
- Enrolment management, correspondence support, and website maintenance
- Team collaboration and adherence to safety procedures
ESSENTIAL SKILLS AND COMPETENCIES
Skills and Knowledge
- Extensive experience in the administration of records, financial accounts and administrative procedures
- Strong interpersonal and communication skills
- Able to work independently and use initiative
- Highly organised and detail focused
- Confident at problem solving and troubleshooting when necessary
- Responsibility for follow up and completion of allocated tasks/projects
- Work in a cooperative, flexible and professional manner with the Committee, the Director, Teachers, all staff and the kindergarten families, as well as other service providers.
Essential Requirements
- Experience in a related field, such as administration, business management or financial reporting
- Proven organisational skills and the ability to maintain organisational methods that others can follow
- Strong problem solving, critical thinking, interpersonal, and verbal and written communication skills
- Proficiency with office communication tools, including the Google product suite and ability to learn and utilise relevant system tools e.g. for bookkeeping
- Ability to plan for and keep track of multiple tasks and deadlines
- Willingness to continue building skills through educational opportunities
- Must hold and maintain a current:
- Working with Children Check
- Police Check
- First Aid
- 2 Professional Referees
