The Role
Lead an effective and efficient Administration function across Covalent’s operations, supporting employees and management throughout all centralised activities, including general administration, onboarding and site mobilisation of employees and contractors, travel, reception, office supplies and facilities management.
This role is responsible for:
- The continuous improvement of the centralised administration processes,
- Ensuring high standards are adopted and met through all aspects of administration
- Building a positive culture within the Administration team that promotes and is consistent with the Covalent Way.
Key Responsibilities
Health, Safety, Environment and Community
- Active leadership in the establishment of a health and safety culture.
- Undertake all work in a safe and efficient manner, in accordance with statutory requirements and Covalent policies & procedures.
- Comply with all health and safety, environmental and regulatory policies relating to the project and ensure a safe working environment.
- Ensure all health, safety and environmental incidents are reported.
Technical/Functional/Role
Lead and deliver all aspects of centralised Administration, including:
- Management and oversight of administrative functions related to:
- General administration
- Onboarding and mobilisation
- Site Access
- Reception
- Stationery and supplies management
- Travel coordination
- Facilities management
- Mail and deliveries
- Supervising the day-to-day operations of the administration team, ensuring a professional and efficient service to managers, employees and other customers.
- Working proactively with the Covalent leadership team, ensuring operational efficiency and continuous improvement of centralised administration processes.
- Collaborating with specialist administration roles at the operational sites and in the shared services departments to create seamless delivery of administration services across the business.
- Oversee visitor and relevant contractor relationships to ensure effective and efficient workflows.
- Manage travel logistics and other administration duties for leaders as required.
- Prepare regular administrative reports for internal stakeholders and site teams.
Financial/Budget
- Manage Office Administration budget and expenditure.
- Investigate, propose and implement measures to save costs.
- Ensure compliance with budget and expenditure protocols and governance procedures.
- Review and approve relevant purchase requisitions and invoices.
Leadership and Team
- Provide proactive leadership for the Administration Team and build a positive culture that promotes the Covalent Way.
- Ensure collaborative working relationships are built and maintained with other departments and stakeholders, both internal and external.
- Influence leadership team discussions on office management and administration matters and influence outcomes.
- Actively participate in measures to embed the Covalent values more widely into the organisation.
- Support and coach team members, managers and employees.
Role Requirements
- 3-5 years’ experience in a Office Manager/Administration Manager role.
- Experience within the resources sector, particularly within the mining, metals and/or construction industry is desirable.
- Experience in a construction environment is desirable.
- Experience using onboarding, credentialling, mobilisation or planning applications such SuccessFactors and INX is desirable.
- Advanced computing skills including the Microsoft Office Suite.
Education
- Relevant tertiary certificate/diploma in Business Administration or equivalent is desirable
Qualifications/Certifications/Licences/Tickets
- Valid C Class manual driver’s licence
