This position has overall responsibility for quality and timeliness of underlying business activities of the Facilities and Asset Management Directorate, including review, coordination and tracking of procurement and Request for Signing document approvals, Directorate meeting packs and EMT and Board papers. Coordination of the Directorate Annual Business Plan and Annual Report compliance submissions, and six-monthly contract register update.
The Business Coordinator is also responsible for tracking financial management of the Asset Management Cost centre, including monthly tracking of core and tied funding expenditure against overall budgets, Reviewing expenditure for Significant Asset Monitoring Program and Essential Safety Measures Program across two tied fund sources (Raising purchase orders when appropriate and receipting following verification), calculation and tracking of contingent worker expenses, supporting the leadership team in the development of the annual budget for both core and tied funding and development of financial detail and commentary for Funding bid business cases.
We're looking for someone with:
- High degree of confidence using intermediate to advanced Excel
- A good understanding of Parks Victoria's procurement processes, in particular Procure to Pay
- An understanding of management accounting and record management principles
- High level coordination and attention to detail skills including strong experience in development of committee materials and provision of secretartiat support
- Demonstrated ability to work through ambigous problems and communicate solutions to senior stakeholders.

Position in Context
The Facilities and Asset Management Directorate sits within the Infrastructure Division of Parks Victoria. The Directorate provides Asset Management and facilities management business leadership, built asset technical leadership, and manages accommodation, fleet and supply of minor plant and equipment and associated services.
