The Opportunity
An opportunity now exists to join the MBS Student Services team as Program Coordinator where you will be the primary interface between MBS and its students. Working collaboratively with relevant Program Managers, key stakeholders and other team members, the position is responsible for providing professional, high- quality and appropriate administrative support and advice to students, so that their customer experience is seamless.
Some key accountabilities will also include:
- Provide timely, accurate and helpful logistical, administrative and program coordination support to students at all stages of their participation in programs.
- Support on-boarding processes for students (relative to their program), as directed. This may include:
- Production, collation and provision of materials required by students prior to commencement
- Enrolment support
- System access and support (Canvas)
- Support all administrative aspects of students’ academic progress including course planning, program logistics, enrolment, assessment, and extracurricular events, in compliance with MBS and University of Melbourne policies.
- Participate in project planning and provide support for co-curricular activities that occur from time to time (including significant school events, Graduation and Valedictory Dinner, case competitions, alumni events, etc).
- Raise purchase orders and process invoices relating to programs, within budget and timelines.
- Monitor expenses relating to programs line with budgets, raising issues in a timely way.
The role will require some flexibility in work patterns to ensure that students receive timely support when commencing and completing programs and to support co-curricular activities. This may include travel and covering the span of hours between 7 am and 6 pm on weekdays, with occasional weekend, public holiday and evening work also required.
About you
As a customer service professional with articulate communication skills, you will be able to demonstrate similar experience ideally gained within an academic environment. Some experience in the use of enterprise systems such as CRM, financial and/or learning and student management systems will be essential as will be your proficiency and skills in using the Microsoft suite of programs.
