Overview
As part of the Corporate Services team, the objectives of Business Services are to support the lawyers and staff to consolidate the Firm's position in the top tier, provide products and services to integrate all offices and to conduct continual process reviews.
The role has a 'hands on' involvement with all the functional tasks and responsibilities, particularly in operational areas including search and lodgement, printing/photocopying/scanning, mail, couriers, fax, stationery, printer fleet management, disbursements and recoveries, purchasing, space planning, premises and maintenance, moves, archiving, storage, safe custody, , security, car parking, , environmental/energy initiatives and relevant business continuity plans.
This role covers all areas of the Business Services Assistant role with additional responsibilities in assisting the Corporate Services Team Leader in supporting the team objectives.
Duties & Responsibilities
- Assist and respond to all queries in a pleasant, helpful and professional manner
- Coordinate the day-to-day workflow of the Business Centre by managing the ServiceNow queues and direct email queries
- Perform the day-to-day operations efficiently and accurately
- Perform tasks within Office Services, Search & Lodgement and Premises to provide backup support for peers as required
- Check in with team members regularly and assist where needed
- Participate in the national alignment of policies, procedures, products and services
- Prepare and input data into the National monthly reports
- Assist with the development of statistical information to monitor services and highlight areas for improvement
- Regularly review procedures to ensure any improvements to efficiency and cost effectiveness can be made
- Undertake WHS Floor walks and action or escalate any issues identified
- Assist with stationery supplies and consumables
- Assist with management of all MFDs
- Monitor and check supplier invoices and submit for approval to Team Leader
- Respond actively and positively to new tasks and opportunities
- Other duties as directed by the Team Leader / Manager
- Escalate all personnel and operational issues to the Corporate Services Team Leader
- Consider key client relationships when negotiating and prioritising service resources
- Oversee all work to ensure it is on track and completed accurately and timely
- Assist with rostering resources and reporting
- Large project involvement & coordination
- Act as a second in charge as needed for the Corporate Services Team Leader
Knowledge, Skills and Experience
- Proven ability to coordinate workflows and motivate and engage a team
- Proven experience in building key stakeholder relationships to understand their priorities and needs, as well as an ability to manage expectations
- Ability to liaise and negotiate at all levels
- Competent in technology and print production equipment/processes
- Deep understanding of print room timings, courier services and mail operations
- Professional services experience in a similar environment
- Solid understanding of facilities management processes and procedures
- Strong WHS knowledge
- Exposure to Search and Lodgement tasks as well as settlements
